Student account closures: How to prevent LOR notes from professors from being deleted?

As a student at Harvard Extension who is not yet in the premedical program, I am facing the potential problem of my account getting closed. My concern is that a couple of my instructors were planning on putting notes in my file that could be used in a future letter of recommendation. My understanding is that a student cannot view or edit those notes. Does anyone have any idea what I can do to ensure that those notes do not vanish if my account is closed?

(PS - I am also discussing this with IT, but have been unsuccessful so far. The combination of my not understanding how this works, and IT's not understanding it either, leaves a lot of room for trouble... and this is too important... I would rather ask someone who does understand this. There must be someone on SDN who is familiar with this process and this problem.)
