volunteer hours on timecard don't match real hours. what do i do?

i know there are plenty of threads regarding volunteer hours but i couldn't find any particularly relevant to the problem i have.

i volunteered at a large hospital's satellite clinic for a few months and acquired ~200 hours. the volunteer office was actually located in the main hospital so the volunteer coordinator told me to log hours on the time card and fax it over to the office weekly. here's the thing: i wasn't consistent with logging the hours and did it for probably the first 3 weeks and, being the idiot that i am, never did it again.

however, i always logged in on the sign in sheet but only my volunteer id# and signature was required and not the hours. i worked hard over there and worked so many hours but due to personal issues i did not return after a holiday break.

it's been a few years since then. i am applying for this upcoming cycle and i planned on using the clinic's director of nursing (who was my assigned supervisor at the clinic) as my contact rather than the volunteer office coordinator. however, according to google, it seems as though she is no longer working there. if anything, i'd hoped she would back me up in this case if the adcoms decided to audit my volunteer experience. well, in fact, i don't know if she still remembers me but i planned on emailing her about my situation prior to applying. however, she's not even there anymore and her email is probably no longer available as it was a hospital email address.

what now? do i just omit the hospital hours? i really don't want to; i enjoyed being there even though it wasn't terribly long. i don't want to deal with the volunteer office since the coordinator is pretty mean and will probably fault me for this whole thing (well, rightfully so).
or should i just act uninformed and put the nursing director's contact info anyway?

i can't find a new hospital to volunteer at since it's really difficult to get a spot during this season. plus, the process of getting medical clearance, orientation, etc. takes forever. the app cycle opens in a few months!

what can i do at this point? i don't want to appear as though i've lied on my app. i think i only have about ~70 hours on my timecard and that's so little 🙁 since my supervisor left, i guess my volunteer coordinator would be my contact but if they do get in touch with her, the hours won't match with what i put on my app.

I see three options:
  1. Take the safe route and put down 70 hours. 70 hours is not much, so this may hurt your application if you don't have very much volunteering elsewhere.
  2. Just list 200 hours and hope that med schools don't double check with your coordinator. There is a very good chance that they will not because 200 hours is hardly an unusual number of volunteering hours.
  3. Talk to your supervisor (the old supervisor should be fine), explain that you were a bit sloppy with your timesheets, but you always signed in on the attendance sheet, and ask if she would be willing to vouch for you if you put down 200 hours. If she could write you an LoR that states that you did 200 hours, that would be great too. Whether or not your supervisor will say yes is highly dependent on her personality, but the fact that you left unannounced after a holiday break won't help.
Let this be a lesson about the importance of being organized and completing your basic responsibilities (filling out timesheets, giving notice before quitting).

Put the amount you truly worked. It is not a lie or a misrepresentation. In the highly unlikely event that they try to verify your hours, the fact that there are multiple locations and a coordinator who has since left are reasonable explanations for a discrepancy.
 
If you could list as a contact anyone that can officially corroborate your actual hours that would be ideal. However the chances that a med school will actually try to verify your hours is slim, and as long as you are not misrepresenting your hours you are fine. If this ever did become an issue you could simply explain your situation which is understandable.
 
Talk to either your volunteer supervisor or nurse contact and explain your situation. If they are not understanding of your situation, it's safer to put what they have on record (either nurse or volunteer supervisor) in case they are ever contacted, or if you ever request a letter from them. Honestly the difference between 70 and 200 hours of volunteer is not going to make or break any application, but the suspicion of lying most definitely can. It also sounds like your nurse contact is a better person to put down anyway too.
