AACOMAS Academic Update

HOLY CRAP! Finally got my gpa updated. Geezeeeeeeeeeeee!

Is your GPA actually correct? I got an email saying my GPA had been updated today and my app had been resent to all my schools, but they had managed to change the designation of some of my courses and not do the grade replacement so now my schools have an updated incorrect app :|

So that happened to me back in the summer with my original submission, But this time they did get my gpa correct. So lesson learned, you have to be very vigilant/proactive with AACOMAS.

When did you get the email saying that your transcripts had been received? I'm coming up on two weeks since they received my transcripts and haven't seen a thing.

Anyone else noticing that their repeated classes says "Not applicable" instead of "Repeated" after submitting an academic update? Is this normal?

Sept 8th I received the email that my transcript was received. So perhaps after 3-4 weeks you should call and see what the deal is.

Don't worry so much about it saying "not applicable". What you need to pay attention to is that the original grade has a "0" next to it for the credits. Then the newest grade has the correct amount of credits listed.

So I received the email "your transcripts have been received and processed" on September 16. Give it 3-4 weeks from that time?

Yeah I would. If by October 8th you don't get the email stating that your gpa is being calculted than you should call aacomas. But they might just give you the run around and that you have to keep waiting....

Untrue. I specifically asked about this before I submitted my AACOMAS. This was the email I received back:

Thank you for contacting AACOMAS. The previous attempt should be marked with
the 5.0 credits and grade. During the academicupdate period, you will mark the
final attempt as repeated with the credit and grade. During the verification
process, we will Zero out the first attempt and factor only the final attempt
into your GPA. Please note that the course title and prefix must match the
previous for us to zero it out.

Please don't hesitate to contact AACOMAS support Team if you should have any
more questions.

Thank you,
AACOMAS Support Team.

My classes are not even the same "prefix/course title" as one was from a CC and the other from university. DO NOT trust the reps, they have no idea what they are talking about.

Wait "during the verification process" as in they re verify after you submit the academic update?

So to anyone who, like me, was proactive and sent in updated transcripts BEFORE the Academic Update period but still waiting for a GPA update, I just got this email response after multiple phone calls/emails:

"The reason why you are still waiting to have your application re-verified, and GPAs re-calculated, is because your application status is only "AU Received" instead of "AU Complete," and the reason for this is because you sent in your updated transcript before AU actually began, which means our systems were not able to classify that transcript as your AU transcript. We are working as best as we can to have that transcript classified as your AU transcript."

Basically, they messed up, lost a month due to their systems error. I'm sending updated transcripts to all my schools directly. What a complete cluster.

is the academic update mandatory? i didnt do it for my one summer course i took.. will it have a negative effect on my app?

Did you list the course as "in progress/planned" when you initially submitted your AACOMAS? Trying to hide a course- that you would have to show anyways by submitting all your transcripts to the school that eventually accepts you- would Not be a wise or ethical decision imo.

yeah i did list a psych course as in progress but I didn't realize we had to do the academic update until like a few days ago and now it's too late.. do you think schools really care about this?

Too late? It stays open until October 15th. You gotta get thegrade inputted today on aacomas and and have your transcript sent in asap

UPDATED! Weird situation. I called on friday bc it had been 3 weeks since they received my transcript. And they just verified me on the spot. So my advice to everyone is to CALL CALL CALL!

Are there any new updates on this? My situation is that I submitted my primary during the summer, while also retaking a course during the summer, so I put down the initial attempt as 3 credits. I finished my summer course with an A and want it to replace my old grade, but it stayed at 3 credits instead of being replaced with 0 credits. So at this point I have the same course on my transcript, each with 3 credits, which is bringing my GPA down. I emailed them but all they told me was that it is my responsibility to mark the initial attempt as 0 credits. But I can't do that when it is locked, no changes can be made. Is there a way I can talk to them and have them change it, or a way to change it myself?

Mine was updated yesterday. It was exactly three weeks. I actually had checked in the morning for the heck of it, and it wasn't updated. I got an e-mail about an hour later notifying me of the changes and my GPAs were exactly what I expected them to be when I calculated them 2 years ago before starting my post-bacc!

As for @uschopeful , I would suggest calling AACOMAS and directly speaking to them on the phone. I hope it all works out for you!

Did you make sure to mark the initial and the retake and "retake"?

Did you make sure to mark the initial and the retake and "retake"?

Yes, during the academic update. Everything was by the book, except that the credits for the initial attempt was left at 3.0 instead of being changed to 0 like my other courses that I retook before the academic update period. But this was because we are not able to change credits for a verified course on AACOMAS.

Yeah, then whoever sent you that email was wrong. You need to call and be resilient in the fact your marked everything correctly and others that took summer courses an submitted their aacomas during the summer, did have the initial class credits changed to Zero by the aacomas verifier. They did it for me and others on here. So you need to call, be respectful, but also hold your ground.

Well AACOMAS is disappointing once again....thought I should post this in case anyone is in the same boat I am. Here's a quick rundown of where I'm at....

Finished 4 classes over the summer (2 retakes) and sent those grades in during the academic update period. Before the update I was at a 3.18 cGPA and a 3.15 sGPA. After the retakes my cGPA is a 3.27 and my sGPA should be pretty close to that. At any rate....both should be above the 3.2 cutoff for CUSOM (one of my top schools). I have been patiently waiting for a secondary, as I was placed on hold until my GPA is raised. I called AACOMAS last week to verify that my updates were received (they were) and I confirmed that schools could see my updated grades, which I assumed meant my updated GPA as well.

Just to be thorough, I emailed CUSOM to see where my application was at. They emailed me back and confirmed that summer grades had been received but my sGPA still shows as a 3.15. I was extremely confused so I called AACOMAS to find out what the deal was only to get the reply "oh yeah, AACOMAS doesn't do GPA updates, we just make the grades available for the schools to see and let them handle GPA stuff." Maybe everyone else knew this except me but it royally ticked me off to find that I worked hard to get updates in on time only for no actual GPA update to occur. The lady at CUSOM was super nice and left a message for the Assistant Dean of Admissions to get back to me so I'm waiting to hear back from them but as of right now, my GPA is not updated.

Moral of the story: Get in contact with all of the schools you want updated and follow up about GPA updates. My situation is slightly unique because I'm sitting right on the border but I figured other people may benefit from this.

AACOMAS should have recalculated your GPA with the updated grades- did they not? You can check this by downloading the pdf of your application under your individual programs. If you submitted during Academic Updates, individual programs should get notified saying that your app has been updated with the recalculated GPAs.

Whoever at AACOMAS told you that they don't update the GPA, is flat out WRONG. The whole purpose of the academic update is to update your gpa. You need to get back on the phone with aacomas and keep waiting to speak to a manager. You want vicky or michelle. If the first rep tells you some bs line how they aren't available, just tell them you are patient and can wait...

My gpa and many others gpas were updated. So you gotta keep being persistent with them.

Hm....thanks for the heads up guys. Gonna have some strong words with those reps if they keep bs'ing me. I thought it sounded like a load of bull that they don't recalculate gpa's. I'll keep trying. Thanks again

Me: Hey so I talked to you guys last week and you said that you don't do GPA updates, then I talked to people who have had their GPA's updated with you guys. What gives?
AACOMAS Guy: Yeah we don't do GPA updates.
Me: Bull. I sent in my transcripts at the beginning of the update period. My transcripts were received September 16 and I haven't seen anything. I know schools can see my transcripts but they said they don't do the GPA recalculation, you guys do.
Guy: No we don't do GPA updates. We just make records available for schools and they can do what they want with those.
Me: Bull crap dude. I have spoken to the schools and multiple people and they have all had you guys do the GPA updates.
Guy: Okay please hold.......*comes back on* Oh so it looks like you did send in your transcripts during the academic update period so we will recalculate that GPA
Me: I just freaking told you that. I literally just said that I have sent them in and that you have received them but I haven't seen any updates.
Guy: Okay well let me check something....looks like it takes 4-6 weeks so your GPA should be updated sometime before the end of the month.
Me: So I have to wait even longer? Awesome....see ya later. *click*

I'm going to be ticked if their incompetence keeps me from getting into schools because my GPA hasn't been updated.

Anyways...just had to rant for a minute and let people know that you really do have to push these AACOMAS reps as they clearly don't understand the consequences of their apathy.

I think I am in a situation similar to yours, just wanted to ask - are your repeated classes from the same school as the first courses or are they post-bacc at a different school?

Thanks!

They're at the same school still in undergrad. It was only 4 classes over the summer so I'm not sure why it's taking so long....

Yub, your story matches just about exactly the same experience I had on the phone with them. Glad you were able to get it taken care of.

Hey, I have a question for people who have utilized academic update.

I've heard conflicting things on whether a retake has to be the exact same course (with the same course number) from the same institution to utilize academic update. The reason I ask is because I'm looking to retake biochem this summer at the same institution, but the course numbers are slightly different (BCHM463 vs BCHM461). However, the course material is essentially identical, and if I were re-taking the course prior to submitting my app, I'm almost positive it would count as a re-take. I've just read that AACOMAS is more strict about classifying re-takes during academic update. Anyone know the answer to this?

If RE-taking a course at the SAME institution, everything on the course title/number/prefix must be the same or it won't count. This is what the new rule that was put in place back in summer 2015. Many of us on here ran into this problem. For example, one of my classes was re-branded from Zoology 3100 to Biology 3100. Exact same course, material, credits, etc. AACOMAS wouldn't approve the retake until I had my transcript office email an official letter stating that the two courses are exactly the same but went through a re-branding. After AACOMAS received that letter they approve the retake.

This is my first time applying and I have a few questions! I am a nervous wreck about inputting all of this info correctly.

1. I originally took my courses at a university and am retaking them this summer at a community college. This will count for grade replacement, correct?

2. If I turn in my grades for the retakes this summer during the academic update in September, the new GPA calculated will be with the grade replacement and not averages of the original course and the retake?

3. To make sure I input the information correctly: right now I just have the original course listed with the grade and credits. I have put the repeats in progress. I did not mark either the original course or the repeat course as a repeat. Should I mark the them as repeat and keep the credits on the original course even though I have no grades for the repeated course?

Sorry for the massive message! Thanks!

1. Retaking courses at a CC shouldn't be a problem in itself. A problem that might arise is that the credits don't match and the courses are too different ( ie. biology 101 for biochemistry). Even though the AACOMAS handbook states that this basically is on the honor system, but better not to push your luck. Also Karma.

2. No. Once you submit your grades and your application is verified, AACOMAS will NOT change things for courses taken at different universities. They will only change things taken at the SAME university once verified. I suggest you wait to submit your application until all your summer grades are completed. That way your gpa will be higher instead of just averaged.

3. Do NOT input credits # on the original course taken. You just put the grade earned. Then on the retake you input the credits and grade. Then at the final process you will mark both the original course grade and repeat course as "repeated". All of this process is detailed out in the AACOMAS handbook.
