Away rotation, letting PD know

I know I've read on here that if we are doing an away rotation somewhere, we should really let the PD know, but I can't find the specific threads. If I am doing an away rotation at a place I would really like to interview at, how do I let the PD know that I am there for said rotation? Is it as simple as emailing them and politely informing them, or is there a less obvious route that is taken? Thanks.
