the fax number they gave me for the letter isn't working. does anyone have the correct fax number? I asked them and they gave me two different ones, neither of them work.

could anyone give me the right one? or I guess I'll just wait until Monday to call again.

She got it faxed through. I got verified before they received it, though, so it didn't count as a repeat.

Also has anyone had a problem where something should be a science class but they counted it non-science? How did you fix that?

Before you call them, you will have to email them about it. Anything dealing with an appeal about a repeat/grade/class will have to in writing. So write an email tonight and be as specific and organized as possible. Send it then call first thing in the AM

So after talking to Michelle yesterday-who btw is awesome and super caring- I needed to get an letter from my university stating about the prefix change on the same class. So I went to my Biology Dept and they emailed a letter.

This morning AACOMAS notified that it HAS to be from the Transcript office. But my transcript office stating that only the Biology Dept could do it.

So after talking to my adviser, he talked to a manager in the transcript office to get an letter sent. So they sent a letter...All over right?

Nope, they don't automically use university letter head. So another official email/letter is having to be made...

I had the same exact problem as you. It changed from zoo to bio. If it makes you feel better, I had my dean fax a letter, and maybe like 1 hour after that, it was all fixed. It's just a matter of getting the letter.
 
Look at the bright side guys. At least AACOMAS allows grade replacement. If they were like AMCAS......................

I mean, overall it could always be worse. But all this running around and explaining the situation to so many different people again again becomes draining

Yea I know what you mean. I've lost count as to how many times I've had to call them because of their "corrupt letters" issue.

Any idea how grade replacement works with pending re-takes?

Lets say I apply in August, but take a class in the Fall semester that will count as a re-take, will the original grade count towards my AACOMAS GPA until the semester is over and I get a new grade for that class? I know that when designating re-takes, you are supposed to put 0 credits for the original class w/grade, and then the credit # w/new grade in the re-taken class. So how would this work with a pending grade?
 
Final UPDATE:

So finally, my correct gpa is showing up and ALL of my retakes went through. Gosh dang, the past 2 weeks have just straight up been awful. It was a roller coaster ride of emotions from sadness, to frustration, to anger, and to finally somewhat joy in it just being done....And this is just trying to get the primary fixed correctly.

So take away from all this: AACOMAS changed the written policy given to us last week, even after so many people submitted going back to the first week in May. The official word now is that IF a retake is completed at the same school the PreFix HAS to be the same. If for some reason the Department the course is under changes names and changes the course Prefix, then you will have to have your transcript office email or fax over to AACOMAS, on official University letter head, stating that the course is the same but they had to change the Prefix for whatever reason.

Courses retaken at a different university do NOT have to have the same Prefix. So all in all, I think Gonnif was right about all this. AACOMAS is being run by a new company this year and they are going through a lot of growing pains.

Once your primary is verified and GPAs calculated, you should look line by line to make sure your retakes went through fine and the right courses replaced the old grade. The old grade should have a "0" next to it for the credits. And the latest retake should have the full credit amount.

If there is an issue, you need to send an email right away to AACOMAS, don't even bother calling cause all they will say is that you have to email all appeals. So be as detailed and organized as you can be in your appeal. Once you send off the email, call AACOMAS and ask to speak to Dan, Michelle, or Vicky. All 3 were awesome and were extremely helpful with all this.

Ultimately, I really hope for next year's cycle they implement a way for applicants to properly match retakes with eachother, like the old system did. It would be extremely helpful, especially for those of us that attended multiple universities. Best of luck to everyone!

For example: I was to repeat a class I got a D in which was psychology stats and another school is offering it and it's titled, stat methods for social science.

Would this still count for aacomas grade replacement?

In my case, courses at different schools Did NOT have to have exact Matching titles. I had one class listed as "Logic" at school 1, then at school 2 it was titled "Reason and Logic", and it replaced it just fine.

If I have a class whose title is "Survey in developmental psychology" and took another class whose title is "psychology of childhood" would they replace one another? The course description is essentially the same but the course title and number are different.
 
was it taken at the same school? if so, the only way it would is if you get the school to write a letter and say it was the same.

I'm thinking about repeating a 4000 level course (according to my university), in another university who designates it as a 3000 level course even though the courses have the same prefix/credit hours/title etc.


It'll be ok. Level numbering systems are different throughout schools. So long as the course and content is similar, you're good. For example, Gen Chem 101 is the name at one school but it's called gen chem 200 at another school. So long as it's the same introductory chem class part of the 2 semester sequence leading to orgo and so forth, you are good.

By "level" they are referring to undergrad vs. grad.

Yeah, I see the various answers too but I would go with "equal or higher" to be safe.

I had some concerns a while back about my retakes being verified because of credit discrepancy. My original class was 4 credits. The class was repeated (same course letters and code) for 3 credits. It has been verified as repeated now without issue. N=1 the credits did not have to be equal or greater. Yay!

Awesome, it makes sense that as long as course titles were similar then a retake should count. I was having doubts about enrolling in UNE O-Chem 2 online (3 semester units) to replace my schools 5 quarter unit O-Chem 2 (equivalent to 3.3 semester units). I didnt want to risk $1,000 and a lot of effort without seeing others have their lesser unit repeats count.

Understandable. If i were you i might give them a call first to make sure. Some people have had some issues with classes from sifferent institutions

Would Physiological Psychology be a candidate for inclusion in AACOMAS sGPA? I'd love if it were.

Look for the application instructions on their website. Physiological psychology is now behavioral science so it won't be added to your sGPA
 
@MajorUnderDog I have literally spent the past 5.5hours either on the phone or e-mailing them. I am currently on hold again to find out information for disputing the non-counted repeated biology course.

Please let me know if you have a similar issue with them rejecting your repeated course.
You will know if they didn't accept it by looking at "colleges attended and coursework" part of your app, and then if they didn't accept it they would have changed the credit hours from 0.00 to the actual amount.

When u say they changed credit hours from 0.0 to the actual amount....you are talking about them changing it in the same spot right? Like they literally replaced what you put as 0.0 to a different number? Or they changed it in the sense that your 0.0 is still there but on the side of it for ver credit they put the actual credit there? Look forward to your reply.
 
UPDATE:

I called today twice AND finally got through to Vicky who is the customer service manager. She overlooked my email and said all of my retakes will be fixed and gpa updated today...

Well, it got updated alright BUT they still are NOT counting the class that was taken AT THE SAME UNIVERSITY WITH THE SAME PROFESSER all because the Zoology Dept. changes names to the Biology Dept.

I even asked Vicky before we hung up, if I should have a document from my school emailed over telling this, and she stated that "no it shouldn't be a problem right now".

Well, it is. Here is the email I received AFTER they re-calculated my gpa this afternoon:

For Repeat #, AACOMAS is only able to replace a grade for a course taken again
at the same institution if the course prefix is identical. Since the course
prefix changed from 'ZOO 3333' to 'BIO 3333' the grades and credits for both of
these courses will be included into your GPA.


Man, this just keeps going on....So looks like Monday I am going to have to get back on the phone again and get this last repeat taken care of...

I mean, this policy is NOT written anywhere for applicants to see, and even it is against total common sense. Its THE SAME UNIVERSITY

@MajorUnderDog hey I was curious when you called two times.
1st did you explicitly ask for Vicky
2nd the grades and retakes that were fixed. Before you got the classes verified did you originally put them as 0.0 for credits but then after verification in the same box or section they changed what you put and assigned credits there?

I did not put my retakes in as 0.0 and now I am verified with a much lower GPA. Am I completely screwed? I figured marking them as 'retake' was appropriate.

Call AACOMAS and ask. Next time, make sure you read the instructions before submitting. You may get lucky and they fix it, or they may not because you failed to submit the application according to their instructions.

Thanks. I sent them an email earlier and will call and follow up on Monday. I should have read the instructions more thoroughly, but I assumed marking 'retake' will be sufficient. I realize I messed it up but I feel like they SHOULD have fixed it. We do pay a lot of money for them to "Verify" our transcripts. In this instance they should have noticed that I put retake and did not note the original course as 0.0 credits.

Again, I realize it's my mistake.

My AACOMAS transcript is not currently accurate and that seems like the point of verifying it. I don't think it will be a huge issue to get corrected, but I will post the result in the future so that anyone else that makes the same mistake knows what to do and the results to expect.

I know this is not an error on my part because I have one class that went through correctly. I did the same thing for all of my repeats and only one out of 6 went through. I'm almost positive I put 0.00 but its showing as the actual credit hours both on my transcript entry section and on what has been sent to schools. I didn't realize this until after 5 pm today so I'm stuck having to wait til Monday to figure this out. I've only submitted one secondary at this point but I'm going to be livid if they don't fix this QUICKLY and it affects my chances.

Yes, same. It doesn't affect my cumulative GPA much but my science GPA would be bumped up from a 3.5 to a 3.6!

I'm looking at a .06 difference in cumulative and a .15 difference in science. 🙁

I'm on the phone with them right now and it looks like they aren't going to correct it for me since they say it was my mistake.... They are saying I have to contact all my schools myself and tell them about the repeat. Unbelievable BS.

How was it your mistake if you actually set it to 0 credits correctly? Is there a chance that you did not?

Good news! After throwing a bit of a fit they caved and I got them to change it for me! So if anyone gets that line from them just keep pushing them!

They had argued that there's no way that the mistake could have been theirs, because I didn't use their transcript entry service and entered everything myself. I just pushed back and said that even if it was my mistake (which I'm not convinced it was) that I'm paying for their service that greatly affects my future and for them to not accommodate my request to make a change is completely unreasonable.
 
I repeated a Physics course a year ago and the credit hours are the same. However, when I enter "0.00" as the initial attempt on that course in the transcript entry form on AACOMAS, the numerical value disappears and I am left with a blank space under credit hours. I was wondering if anyone else is experiencing the same issue, or if this is normal. Thanks!

So you did all this on the phone? I will have to call after the gym today. Were you on for long?
 
I just spent an hour with them on the phone with no real result. I did not put my retakes in as 0.0 credits (I left the original amount that was on the transcript and just clicked "repeated course" check box. They will not go back and change the credit hours to 0.0 even though the course names are identical.

They informed me that you enter you transcript in on the "Honor System" and they do not verify the retakes. So basically you can put whatever you want, but they wont fix a mistake afterwards. This makes no sense to me at all.

I am waiting to hear back from the verification department (for the 2nd time) on whether they will fix the issue.

If they do not plan on fixing it I am certainly going to email some of the folks in charge of AACOMAS explaining my situation and how this has basically completely skewed my GPA and essentially resulted in their verification process being useless (my application does not accurately reflect my grades and there is no mechanism to change it as this point). I realize I made a minor error during input but I expected the hundreds of dollars and 3 weeks I waited for verification to result in a correction of this error.

They don't verify retakes? They must to some certain extent. Otherwise, what's stopping someone from using their physics for poets grade of A to replace their particle physics theory grade of C? I assume they meant they won't verify retakes that have close enough resemblance to original class though we've had posters in previous years (in the old app system) where grade replacement was denied. I specifically recall GordonGecko (did I spell it right) post on that his/her cell physiology did not replace cell biology.

One guess of mine is that this honor system has been implemented because with the higher number of applicants to DO schools and higher number of users retaking classes, it is too much work for verifiers to consult school catalogs and syallabi hence honor code.
