our university has a system to help students evaluate students progress towards completing their degree requirments by showing which courses have been completed and which courses have not

my advisor approved a course substitution for one of the courses required for the degree, so this approved course essentially took the place of this published required course needed for graduation... I have it in writing from the advisor in an email

however the electronic system is not showing that I have met the requirement (despite having done the advisor approved course substitution to fulfill this requirement)

Am I safe... in the sense that this requirement has been met since I have an email from my adviser stating that this course I did essentially replaces this one course requirement?... by the way, the adviser is also the chair of the department

The problem is that graduation and getting the degree solely lies on this electronic system saying that all requirements for graduation have been met

Seems like in that situation, the best thing to do would be to contact your advisor and make him aware of the mistake. I had a similar problem and realized that the only issue was that it was typed wrong in the system. Simple fix - and you don't want this to come up later when it's time to graduate.

Yeah, either contact your advisor to see what to do. You may just need to contact the department issuing your degree and see what they say.
