How are y'all tracking the hours you provide supervision to students and trainees? I want to capture the amount of time my week is spent providing supervision (I work in academic medicine), but I want it to be easy.

Right now I've got a spreadsheet set up, but curious about what others do...or I could be overthinking it and no one tracks their supervision as a supervisor.

I have the supervisees track their own hours. I don’t think any of my supervisors ever tracked my hours. If you are keeping track for your own reasons or to turn something in to admin for some reason then a spreadsheet makes sense to me. In fact, if it’s for admin, make sure that it is super complex so much so that it is incomprehensible. They love that crap. 😁
 
All of my supervisors kept their own records of supervision either in a notebook or a spreadsheet. They all knew or knew of someone who had a trainee file a complaint against them and then the board requested those records. Most of them also kept some lean notes regarding my caseload and specific instructions they provided regarding ethical concerns, escalations to a higher level of care, or self-harm.

lol I'm trying to figure out if it's worth documenting the multiple levels of trainees and amount of time I spend bedside teaching for promotion and tenure purposes. Other than showing proportion of time in teaching, not sure if it's something worth the effort.

Is it that granular for your organization?

I know many that have T&P or bonuses based on the amount of time allotted or scheduled for training and supervision (e.g., 1/2 day for supervising residents is worth X amount of "points" towards dept. bonuses), but I don't know if it would be worth the effort to document it in more detail unless what you're doing is dramatically more than what is expected (e.g., that 1/2 day is really more like .8 days because the residents routinely require more supervision). You could save time just taking the amount of time allotted to it and multiplying by 52 (or however many weeks you work a year). It might also be to your benefit doing that in case there are weeks where less effort is required....
