Hey guys and gals, I have a question about a particular situation I am in and was hoping to get some advice from the community. I submitted my ERAS application to dermatology program on Sep. 19 but when I submitted I only had one letter assigned to each school. Before october 1st I assigned two additional letters to each school. Of the three letters I assigned to each school, only 1 was from a dermatologist and the other two were from an IM clerkship director and FM clerkship director. I was not able to get an additional derm letter until just this week.

I am planning to assign this fourth letter to my application because I think it will add some benefit because it is from a dermatologist and currently I only have one letter from a dermatologist. I will also be getting an additional letter from the program director of a big name program (probably top 10 in country) where I am currently rotating but that will not be until the end of this month (when I finish the rotation). I was planning to submit the letter I have now to all programs that have deadlines before I will have the new letter and then wait to submit the new letter to all programs that have a later deadline.

My question is should I send an email to programs to notify them that I have assigned a new letter or will they automatically be notified? Should I do something different for the programs I submit the letter to now versus the ones at the end of the month? Also, does this sound like a good plan or should I wait and submit the big name letter to all programs? The letter I have now is from a small dermatology program where I rotated and the person is probably not extremely well known. Any advice you can offer is greatly appreciated.

If it was me, I would assign the letter now. I believe the programs will be notified. It doesn't hurt to notify the program coordinators (not directors). I would probably do the same thing when you assign your other letter.

Just a quick yet formal email.
