Virtual Evals--108 out of 126 med schools?

Hey everyone...I was checking the status of my rec packets on the Emory Career Center's database, and before it logged me in, this notification page (or "disclaimer" as the page was titled) came up. I'm attaching it and have highlighted in red some of the points of interest...

Dear Emory Pre-Med Student:

Beginning with the 2005 applicant pool, letters of evaluation will now be sent electronically to participating medical schools. Virtual Evals, the new transfer and retrieval system, allows medical schools to receive and download your letters as a part of the application process. This new system will allow for quicker transfer and receipt of your letters. Currently, 108 of the 126 medical schools in the country are participating in this new system. Virtual Evals only pertains to students applying to allopathic medical programs (M.D. programs).

As with our previous system, you will collect your letters in the same fashion by having your evaluators send their letters by mail to The Career Center. The Career Center will not accept letters electronically. You will continue to make all requests through the Pre-Professional Database. When identifying which letters you want to send, you will now be restricted to a selection of four letters. This is the policy of participating medical schools. All medical schools participating in Virtual Evals will receive the same four letters. Your four letters will be sent in PDF format to the schools that you request through the Pre-Professional Database. It is important that your file is complete and all letters have been received in our office before you make your request.

When our office has completed your request, you will receive an automatic email informing you that your letters have been posted on the Virtual Evals website for schools to view. Only participating medical schools will have access to view your letters. You are encouraged to follow-up with each school to ensure that they have viewed your letters. In the event medical schools request additional letters from you, you will simply make that request through the Database, and our office will send the new letters as we have traditionally done via postal mail. There is no additional cost to applicants for the new Virtual Evals service. All current fees shall remain the same: $30 to establish your file (first 10 schools included) and $5.00 for each additional school.

Emory joins other undergraduate institutions in this exciting, new technology developed by Duke University, including Yale, MIT, Brigham Young, Vanderbilt, Tufts, Virginia Commonwealth, Baylor and Wake Forest, to name a few.

Ummm....has anyone else heard about this new system up until now? It makes me nervous because not one medical school has mentioned the Virtual Evals system in their application process for this cycle and it seems kind of weird that it would only become introduced now, after some of us have already begun to submit secondaries....and I'm also not fond of the policy that ALL schools have to see the same four letters. I'm also confused because I already made a rec request for Northwestern for only three....so I hope that those three don't get tagged as the letters I'm dependent on. I can see how it could be a convenient system (reducing snail mail dependence!) but augh I'm more confused now....if anyone else knows anything useful about this system please post!
 
I haven't heard of it, but if it's true, it sounds pretty cool
 
Did I read that right? You have to pay to have Emory do your letters? What?

Duke started using this Virtual Eval thing awhile ago. Instead of using snail mail, they just posted the recs to a secure website, it really made it easier for schools to get your letters and complete your application. Don't worry about it. Schools you haven't applied to can't access your letters.

I go to emory too, and was like this is bs. We are only allowed to send 4 letters when 3 of them have to be from professors. That means only 1 letter can be from a doctor, PI, or someone you worked closely with. I am a little concerned about this cause I was going to send 5 letters each med school i applied to. Also how the hell are we suppose to know if the med school we are applying to use Virtual Eval? I really think this is going to hurt Emory students applying this year.
 
Duke's virtual system last year was great! It worked without a hitch and saved me the nightmare of sending LORs to each school (I applied to 13 and since I was MD/PhD that means nearly two recs for each recommender. I think I would have given up trying to sending ~25 letters out per recommender). How it worked for us was - one LOR per recommender was sent to the pre-med center at Duke and scanned and posted for all the schools I was applying to. Those schools got emails telling them where and how to access the secure files. From what I hear, many medical schools love it because it cuts out a lot of paperwork for them. Don't worry about the system - it'll simplify your life a great deal and let you concentrate on more important things.

I'm surprised that they are charging you though.
 
I am assuming they will tell you which schools don't use Virtual Evals.

Use your 5th letter as a supplement to your application, aka a boost if you get on a waitlist you want to get off of.
 
What a lot of people did was send 4 or 5 LORs at first. If you get waitlisted to a school you really want to go to, then you can send more LORs (probably 1 or 2 more) to specifically that school. You don't want to be sending 6+ LORs to every school. Remember that they have to screen all this stuff and don't want to read superfluous recommendations. Honestly, 4 or 5 should do fine. I think I got away with 4+my pre-med counselor.

Right but you had a total of 5, Emory doesnt do committee letters or pre-med advisors dont write letters so 3 of our 4 letters are from professors right off the back. So we can only send 1 letter that is from someone that we worked closely with, that seems like its limiting us. Not that I am applying to any that I am aware of but I noticed that some schools like University of Utah require 6 letters of recommendation! I'm more concerned cause on some of my 2ndaries i mentioned that I would be sending 5 rec letters.
 
If you are really concerned about this 5th letter, call your premed advisor about it. Or give the letter writer some addressed envelopes and have him send the letter to the school. I think a letter received later in the year has more of an impact (i.e. to get off a waitlist), but that's just me talking from personal experience.

I am sure you could say that the extra letter could help you out more now, and you are entitled to your opinion. And you may even have a point.

Regardless, just do what makes you feel the most comfortable. You are going through the process and you have to live with the decisions you make, so do whatever you think is best. Sorry to be preachy, it's just not worth it to get so stressed about this stuff. It always seems to work out for the best.
