Yup, we did. Your VMCAS data will roll over to the following year beginning with VMCAS 2015. So if you apply this year, and reapply next year, it will roll over. 🙂

Does this mean students will not have to send transcripts to the individual schools? It won't apply to me, but that would be so amazing - and a time and $$ saver if they could just send one transcript to one place.

What would also be amazing would be if there were some digitized process where transcripts could be scanned and converted to the VMCAS application... I swear the biggest time sink in filling out my application was just going through each course, finding the credits, when I took it, and so on to input one by one into the application. Not that it was difficult, just took awhile.

It will definitely be a good thing for those applying this coming cycle. I would like not to think about how many transcripts I had to send out to each university and the amount I spent.

Yes, you send one copy of your official transcript to VMCAS, so there's definite $$ savings for you!!

VMCAS will scan the official copy of your transcripts and provide a .pdf copy (in color/front and back) to your designated school(s) for them to download. Unfortunately, because of the variance in school transcripts, there's no way for us to scan and populate the coursework section of the application... so you're still on the hook to enter it manually. 😎

I saw on the website that you will not start to verify transcripts until "a completed VMCAS web application is complete." Does this mean the entire application (experiences, essays etc)? If this is the case, is the deadline effectively September 1st? If your application is not verified by October 2nd and thus, not "complete", does that mean you miss the deadline completely and are not going to be considered for admission at the vet schools?

Excellent questions! Thanks for bringing them up.

An application is considered ready to be verified upon completion of the following:
  • Complete Application (Personal Statement included)
  • Three (3) Registered eLORs (but only one (1) has to be received (FYI - Schools STILL require all three to be submitted by 10/2 - or your app will be incomplete)
  • Application Submission (Paid in full)
  • All official transcripts received by VMCAS

If all your application materials are in BEFORE October 2nd, your application will still be considered COMPLETE, but not yet verified, VMCAS will continue to verify until completed. That's why we STRONGLY recommend getting all this in by September 1st, to ensure verification prior to October 2nd.

For those that do NOT have all this material in by October 2nd, 2013 at 1pm Eastern, your application WILL be considered "incomplete" regardless of status of your transcript verification.

Is there any advantage to getting your application verified prior to October 2nd? Do schools look at your application sooner rather than later? Personally, I will be getting some experience hours in September and would ideally like to include on my application...I would be disappointed not to be able to include them.
 
Some schools require their in state residents to submit everything earlier than the Oct 2 deadline. Iowa State is an example.

Much of that sounds great, but as far as "transcript verification" goes that's the thing that nearly screwed up my public health application to my own university (through SOPHAS, which is like the public health version of VMCAS).

It took weeks to remedy, which only happened when the person in charge of admissions at my college waived the transcript.

Why did that happen? Because SOPHAS was an outside party trying to interpret an interdepartmental transfer of a study abroad from International Studies to Horticulture, at the same university, as credit being transferred from a foreign institution. They wouldn't forward my application until I provided them with a transcript from that foreign institution... which didn't exist.

I don't want to repeat that nightmare. So, yeah, THAT scares me. 😱

No. VMCAS said that your application will still be considered "complete" as long as they have received everything from you, but it may take a few weeks to verify. I think as long as your application is 'complete,' you are in the clear. And as long as everything you entered matches up and your transcripts are 'verified' I would think that this might help cut down the amount of time it takes schools to review applicants since they will no longer have to go through the coursework/transcripts of each application they receive to verify that it is all correct. Just the fact that they will have less materials to gather for each applicant's file should help cut down on time think. 🙂 I am kind of jealous this wasn't implemented earlier. It would have saved a lot of money. And time! (I applied to 10 schools, so it took forever to get transcripts from both schools I had taken courses at sent to all the schools. Typing in each address twice was a pain!)

EDIT: Also, I should add that I think the reason they suggest you have things in early is because schools will start reviewing applications after October 2, and the sooner you are verified, the sooner they can review your application.
 
Sounds pretty scary/messy to me too! So glad I don't have to go through that!

Awesome. I think this will be super helpful. Getting copies of all of your undergrad transcripts mailed to the vet schools you are applying to is such a pain and rather expensive. Do you know if some vet schools will still require an official copy of your transcript mailed to them?
 
For the people freaking out, AMCAS (med school app) does the verification thing too and it seems to work out fine.
 
Does verification mean they compare it to the classes you listed? Or just that they received the right one?

Yeah guys, don't freak out. I was super impressed with how responsive and helpful VMCAS was when I applied, so I personally would much rather them deal with the transcript verification than the individual schools. If you're worried about something, just email/call them rather than getting frustrated about it. They usually answer very promptly with straight forward answers, and will even extend their hours close to the deadline and stuff unless something's changed.

Yes, there's a HUGE advantage to getting your application verified prior to October! As soon as you have a verified application, schools WILL begin reviewing them!

As for future experience, if you are aware of upcoming experience, list it anyway with future dates, and add that it's upcoming in your duties explanation.

Applicants are NOT penalized if they have EVERYTHING (completed application, application fee, one (1) of three (3) evaluations submitted and ALL transcript) in before October 2nd. Yes, verification can take up to FOUR (4) weeks, so the earlier you submit all your information the sooner you will be verified, and the sooner schools will begin reviewing your application.

Verification matches your entered coursework against your official transcript. Terms, session, classes, grades and credits for every course you enter.

Is this a start towards rolling admissions for vet school? I know that some of the schools will not start to review applications until the October 2nd deadline, but if you were to submit all of your application on say... September 30th and it takes 4 weeks for verification this means that the schools won't receive your application until October 30th... am I understanding this correctly? And then what if there are problems with the transcripts and the applicant doesn't find out about these from VMCAS until well after the October 2nd deadline? Will the school still accept their application or is it now considered late and thrown out? Will the applicant have time to rectify any transcript problems, as these do tend to happen quite frequently?

I like the transcript verification because it does save a lot of time, money and stress, but I can also see some bumps in the road too and it almost seems like this would be a push towards rolling admissions in vet school where submitting your application by early September is a benefit because your transcripts will be verified first and your application will be reviewed sooner than someone who submits in middle-end of September.

I thought I remembered reading that only hours that had actually been completed could be included and listed on an application.

First, I think this is a fantastic idea for all the reasons people have mentioned. I also think it's great to have a VMCAS representative on the boards. It's a great way to share information with applicants. It's also important to ensure every tiny detail is provided correctly, because having applied last year, I know how important (and stressful) it was to keep track of the administrative side of applying. But some of the info being provided here is contradictory and some is just unclear, so I hope VMCASSTAFF can address it and clear up the confusion.

All of the quotes above "strongly suggests," "strongly recommends," states there's a "huge advantage," in completing your application with transcripts by September 1st. Better yet, "the earlier the better." This is EXTREMELY confusing and perhaps misleading. No schools that use VMCAS as far as I know have switched to rolling admissions. In fact, there is likely NO actual advantage to getting in your application prior to October 2nd. Maybe I'm missing something, but schools will still evaluate two candidates equally no matter if one is verified by VMCAS on October 2nd or a later verification date, say November 1st, as long as both were submitted by the Oct. 2nd deadline, correct? Is this a way for VMCAS servers to deal with the crush of last minutes submissions on Oct 2nd? If so, I wish that would be more transparent and explicitly stated.

I don't mean to come off as attacking, so I apologize if my post is read that way. But these seemingly tiny details matter to people in the application stage. I also think it a bit irresponsible to post misleading or incorrect information. As I said before, I truly appreciate having a VMCAS representative on these boards, so hopefully you will take the chance to clear up the confusion. Thanks.

Verification can take up to four (4) weeks for us to complete your verification, and MUST be completed prior to the October 2nd VMCAS deadline for your application to be considered "COMPLETE".

Simply put for current applicants, treat Sept. 1st as your deadline.

And this is what I was getting at.... so essentially the deadline has been moved from October 2nd to September 1st.... glad I finally got in this year. 🙂

Glad I got in, too. This change seems like a pain in the butt; however, I only applied to one school so maybe it would be better for everyone else that applied to multiple.:shrug:

i applied to 15 schools and each one needed 10 separate transcripts from me (including a foreign translation), and that ended up costing me about $500 or more. so while the new deadline would have sucked (and makes me glad i got in this cycle), the money saved would have been worth it.

and i only paid for 1 transcript to 6 schools.
having to get my butt in gear to finish a month earlier wouldn't have been that big of a deal to me, but I would have loved not having to go through the hassle of requesting lots of transcripts and making sure they all got there and then paying for it.

I have three transcripts, 2 from schools 800 miles away from where I am now, so any help to cut costs/time on sending them is extremely appreciated.

Besides, to me, any deadline they set just means that I will continue obsessing over it until that day. I have more than enough time to get into panic mode before September 1st :laugh:
 
This may not be the place to ask this, but when I enter classes, grades, etc. How do I enter classes that I have taken, but retook under the grade forgiveness program? Both classes show on my transcript but only the better grade for the "redo" counts. thanks!

The first attempt should be categorized as "Complete" and if there is no grade, then select "NG" for the grade. The second attempt should be categorized as "repeated" with the new grade attached.

It's possible! I had to send 14 transcripts (to 7 vet schools from 2 undergrads) and paid for 13. My school gives you one free transcript per semester but you have to pay for additional ones. It wasn't too much per transcript but it added up quickly. Plus, I had to fill out a long paper for each school with my info and the address of the school. It was time consuming. I think the transcript verification will be a big help to a lot of applicants.

I only had to send transcripts from two universities to one vet school, but it was still stressful because both of those universities have inept transcript departments. I had to call the first uni three times and even send my dear mother down there (I don't live there anymore) to get it sorted out 🙄.

Still, I'm glad I won't have to deal with VMCAS's newly implemented system/deadlines.

My undergrad sent them free and was a really easy online process. (Go them.)
The local state university where I had taken one class and had one in progress was $8 per (well, the first overall was free). They have like a three-page online form that is a pain in the butt. So had to send those twice, with the addition of one grade each time. Blerg.
 
I have a question that is a little off topic. I know that you report EVERYTHING you have ever taken at any college since high school. I was just wanting to be certain that I report even the technical (auto-body repair) classes I took for a year. They will be on the transcripts I send but I wasn't sure if they were still considered college. I kinda think they would be....

Also, on the sample application it says First major or First degree. I got an associates before I transferred to my current university to get my bachelors. I consider my current school my primary school. Is this correct? Do I need to list the community college first and say that my AA degree was my first degree and my upcoming bachelors my second or not even list the AA degree?

Hi VMCA STAFF, thank you very much for making yourselves available on this forum 🙂 it is very much appreciated and I probably would not have found out that changes were being made otherwise!

Regarding courses that we are taking in the fall term ( Sept- Dec) that we may be using as a prerequisite course for schools that we are applying to, will the earlier date influence this in any way? I am not sure if "in progress" courses for the fall semester will show up on the transcript if we must submit them by Sept 1. Thanks!

I was thinking this myself. It would be really cool if vet schools started moving towards a rolling admissions process because I think most of us would like to know ASAP if we were admitted or not, rather than waiting months and months. But honestly, from an admissions perspective, rolling admission is kind of a gamble. Being able to judge ALL of the applications in one big pool allows for easier comparison and let's schools pick the cream of the crop. If only there was Early Decision admission for vet schools..
 
Unless VMCAS is doing this in-house, I am pretty certain I've temped for the company doing the transcript verification (as a verifier). My advice, aside from applying early, is filling out everything absolutely correctly. Check your credit hour conversions, especially. The verifiers make small adjustments, but if all of the credits are wrong, or all of the grades are on some weird scale (this actually happens), or there's a transfer credit from a school they don't have a transcript for, they send it back. And If the application gets sent back to the applicant for editing, you go to the end of the queue when it is resubmitted. Not to scare everyone--most people do it right enough--but just be mindful.
