Dear Advising Colleagues,

AACOMAS is pleased to announce that the 2011 AACOMAS Application launched at noon today, May 3, 2010. As of 2:00 pm, over 500 applicants have started their 2011 applications.

Please help us share the following important tips and advice for the 2011 cycle with your applicants and prospective students


1) 2011 AACOMAS will launch in the afternoon of May 3, 2010 - Eastern Time. URL: https://aacomas.aacom.org or http://www.aacom.org

2) New for 2011: Applicants may work on their AACOMAS application throughout the month of May. They will only be able to submit their 2011 AACOMAS application on/after June 1, 2010.

3) New for 2011: All applicants applying in the 2011 cycle must submit their most current Spring coursework transcript with posted grades. We will not begin to process applications until Spring grades are posted.

4) New for 2011: Applicants will be able to access a comprehensive 2011 AACOMAS Instructions Booklet that will aid them in successfully completing their application. Advisors will also find this instruction publication useful when assisting applicants.

5) New for 2011: AACOMAS has changed the address to which applicants should send transcripts. Please have transcripts sent to:
AACOMAS
1900 L Street, NW, Suite 603
Washington, DC 20036

Note that processing of transcripts sent to AACOMAS at its Chevy Chase, MD address will not be delayed; however, sending transcripts to the above address is preferred.

6) Roll-over feature: For past applicants that are re-applying in 2011, the roll-over feature will be available for their use.

7) For applicants students applying for Fall 2011 admission, we strongly recommend that they review the 2011 Osteopathic Medical College Information Bookthat includes descriptions of all of the osteopathic medical colleges, admissions criteria, minimum entrance requirements, supplementary application materials required, class size, application deadlines, and tuition.

8) Deadlines vary amongst the Osteopathic Medical Colleges. AACOMAS recommends applicants submit their completed, paid application by December 1, 2010 for best consideration. The majority of the medical colleges have a February 1st deadline. Normal processing time is 3-6 weeks.

9) The on-line AACOMAS Application Support Center is an integrated part of the application system which we encourage applicants to use when they have questions or need to make updates on their application. Dedicated staff respond to applicants through this system and a written log is established.

10) MCAT scores must be released to AACOMAS through the THx system. Applicants must provide their MCAT/AAMC number (8-digits beginning with 1) in their AACOMAS application. Their AACOMAS application is then electronically matched to their score(s).

11) Applicants may submit their AACOMAS application without a set of MCAT scores. They simply indicate “Planned” in the MCAT section of their application.

12) Personal Statement: 4,500 characters (this includes spaces).

13) GPA Calculations: Math courses are included as a “Non-Science” in AACOMAS GPA calculations.

14) Repeated Coursework: The most recent repeated course grade is included in AACOMAS calculated GPAs – repeated courses are not averaged.

15) Prerequisite Coursework: Only grades of C or better are included in prerequisite verification.

16) Lastly, AACOMAS staff processed over 100,000 applications for more than 13,000 applicants in the 2010 cycle. Please encourage your applicants to read the instructions, be accurate, complete, and early, review their materials with you before they submit, and make sure that they “authorize release to their Advisor” so that you may view their progress in the Advisor Information Center (AIC) portal: http://aic.aacom.org/

Not a big fan of (2 and (3...since it seems to take a good while to process them in the first place.

I'm actually very frustrated by 3... classes for spring for quarter system schools end mid June and my grades likely won't be in for 2 weeks after that. That means that unlike last year where I could submit and then get updated when my new transcripts were in I have to wait until after July to be verified?!? Seriously!? Thats ridiculous. I have been working on my apps for over a month now so I could make sure they are in at the earliest possible date 😡

I'm confused.... What does this mean for those of us who have semester systems or aren't taking any spring courses? What does it mean if we have enough credits already to be a senior? I'm very confused...

I think that means you have to submit your current grads from this semester, if you have any. Basically, you have to show all your grades up to this very day, even if in progress.

I'm curious as well. I read through the instructions trying to find this new rule and found this: "Transcripts must include all completed coursework through at least the Spring Term of the Junior Year (or equivalent). Transcripts that show the Spring Term as in progress will not be verified. Do not send transcripts that do not meet this requirement; they will not meet verification requirements."

I am actually curious if this means that someone in my situation (reapplying so I have all coursework done) would still be able to submit showing an in progress course. I sent them an e-mail about it. If all else fails, I will be submitting my application as if I had not been taking this class and then sending a transcript with the course the day that I get my grades. By the time they are done verifying my application if I submit June 1st I will likely have the grades to send to them. I just have to worry then that they actually do the grade replacement 🙄

What do you mean what is that? With spaces included limits the number of words or pages you can have.... both AACOMAS and AMCAS are the same, they limit by characters. It restricts your words ALOT, it is a bitch getting it down to that limit. 👎

yea, if only one of my gen chem class is C-, will that halt my whole application process?? thanks
 
I am currently taking two courses right now,

an english that will finish at the end of June and a Physics that will finish at the end of July.

I was hoping to finish my apps in May and submit asap...but I wont be able to do this anymore????

Are you finishing your Jr/3rd year? If so thats what it sounds like, they want your final grades before you apply. I'm waiting on an answer from them if people who are already done w/ school and taking a gap year are exempt from this new rule they have.

They won't be "verified" but you have to remember not everyone is completed finished with all pre-reqs when they apply, so you will be fine if you put it in the "classes to be taken" category. Basically you just can't be done with your pre-reqs if you just leave it as a C-.

Also Cell bio only counts as a pre-req if you're applying to KCUMB I believe. (As long as you have enough Bio credits for other schools you're applying to).

It has always been a character limit. The text entry can only fit a certain amount. This isn't any number of pages. Your statement will still be roughly a page. Your PS should be concise, adcoms don't have time to read novellas.

To me it what that are saying is: to send them a complete up to date transcript, not one with pending grades for the current semester. This actually makes things easier for you, and for them. If you already have all your grades up until today, then you are set.

This is exactly WHY I am frustrated... I have my application ready to submit already yet I'm going to have to wait until mid June to complete the class and then another 2 weeks before it is posted and another week before the transcript actually makes it to AACOMAS and THEN they will begin verfiication, pushing it back to the start/mid JULY. By the 6-8 weeks its likely to take from there I am looking at end of August/Early September before I am verified... THAT is late.

And not everyone is in the same boat. It actually is a huge hinderance ONLY for those students who are on the quarter system and finish in mid June. Most semester systems will have grades out by the end of this month and be able to submit from the start.

Wrong. I e-mailed them to ask about this and they said if you are listing ANY spring grades they need them before they will begin processing your application.

Update: I just called as well and the customer service guy just said that seniors/graduates can submit early... it sounds like there is alot of confusion going on in that office right now

So the course I am taking right now (english) is part of my 2nd degree / post bacc institution but is not needed for graduation / my degree. The other course I am taking (physics) is from another university.

I am going to email them to see what they say, because I wanted to submit ASAP.
 
This is so frustrating.

Why tell us now?

They should have notified everyone applying for the Fall 2011 cycle LAST YEAR so we could properly prepare; because a lot of us were not expecting for Spring grades to be listed on the transcripts (just like AMCAS does not ask for Spring grades).

This is a major fault on AACOMAS's part. It's just not fair to make these changes all of a sudden.

According to AACOMAS if your taking any spring courses (courses that start between March and May) you have to wait on those grades. There's no exceptions... I'm so glad I decided not to take any summer courses this semester!

If an applicant is taking summer courses, that does not count... right? I mean, clearly summer courses are not the same as spring semester courses...right?!

The Rep asked her supervisor for me. She said that the AACOMAS consideres any course than begins between March and May as spring courses, and requires them (if you're taking one) to be finished by your time applying. Sorry I said summer, I mean spring. I just got out of my last final so I've been lounging outside all day. Nice and sunny, no more books for a while... I love it.
 
I wonder what is preventing someone like me from just not entering a spring course and then updating with the grades when they come out in July?

Maybe the knowledge that when you update with the grades they find out you lied, and thus lose your spot in a Medical School. Feel free to do it, but I wouldn't try it.

I asked him specifically "what is to prevent someone who has already completed all prerequisite coursework from not including spring grades and then updating later in the summer with those grades". He said that it was not necessary and if the course is in progress or planned it does not require final grades. I then replied with "so If I am currently enrolled in a course which ends in mid-june and wish to submit June 1st, all that is required is a verification transcript?" to which he replied "yes, that is correct, only if the course has been completed by the time you are going to submit do you need to have the final grades"

I'm beyond confused right now as to what the hell is going on and personally I think it sounds like AACOMAS confused themselves in the process. :laugh:

I was also told that this applies to ANYONE and thus ANYONE taking courses now, in their Spring semester, must wait until grades are posted before they submit transcripts.

I assume we don't have to wait until mid-June to send out our spring grades for AMCAS, right? I've read the instruction book for AMCAS, and it didn't state anything like that..But I want to make sure though. Am I right? It's for DO only ,right? Thanks

What is this Roll Over feature in #6?

If you previously filled out an AACOMAS application, the roll over feature allows you to transfer your information over from a previous application, thus not having to re-enter it. You can edit it however you please afterward.

Totally agree with you.

And to answer someone else's question, from what I know, this only applies to AACOMAS, not AMCAS

Well, assuming the person I spoke to knows what she was talking about, then yes you can submit once finale Spring semester grades are on your transcript... summer does not need to be there.

But who knows? They seem to be saying diff. things to diff. people...

Isn't "Spring" the 1st part of any summer course? Dont you mean you just finished your "Winter" courses?

Usually, Spring semester is from January to May.

Summer session is anytime between Spring semester and Fall semester.

Winter courses are usually taken in Winter session, between Fall and Spring semesters.

Here is how it works in most schools in Ontario:

Semesters:

Fall (Sept to Dec)
Winter (Jan to April)
Spring (May to June)
Summer (July to August)

So with the new AACOMAS rule about how all "spring grades" need to be completed before transcripts are sent in...that would be for a "spring" semester that is not related to "my" spring semester listed above?

Just found this on the instructions...

Entering Coursework
Enter all coursework – click on "Add/Edit Courses."
The "Term Year" drop-down menu will allow you to create or add a term within the time frame of
your attendance at the college. When ready to add a new term, select "Add term" and a box will
open to create a new term of attendance. Select the calendar year in which the course was taken,
the corresponding term, term type, course level, and whether the term is completed or in progress.
For AACOMAS purposes, the sequence of an academic year is – Fall, Winter, Spring, Summer. (For
example, Fall 09, Winter 10, Spring 10, Summer 10.)


I think this follows the outline I gave above, therefore any course taken now is a spring course and not a summer course

So are you guys telling me that since my spring quarter doesn't end until June 15, I cannot turn in my transcripts on June 1st, but instead have to wait until my last quarter grades are out? what if I don't want my last quarter grades to be on my application?

Based on what I understand, they are NOT going to verify your transcript until you send your spring grades in.

I understand your frustration. I just checked with my school today and they told me the earliest day for them to update spring grades is June 24th. 😱

I understand your frustration. I just checked with my school today and they told me the earliest day for them to update spring grades is June 24th. 😱

I called and emailed, the transcript wont even be considered if the spring grade is not on there.

That is correct. What is worse is that they will not even BEGIN to verify your application until the transcript is in. I spoke with the instructor of my spring course and asked her about this and she told me she would rush grades through since many of us are applying for med school. She said she knows how it is an doesn't want us to have to wait. So my June 10th final should have grades ready to be sent out by June 13th according to her and hopefully the administration will be ready. I'll likely pay the 40 or 50 bucks to rush process and overnight it as well since it takes 3 days to send out and last year it took 1.5 weeks before AACOMAS received it from California.
 
Since I'm not taking any classes rite now, does that mean I can start sending in my transcripts now?
