how early should I start preparing to apply to them?

can someone who has gone through the process help explain it?

do I just 1. find specialty I'm interested in 2. go to school website that I'm interested 3.?

Hoping you aren't a fourth year already.
But, honestly, I recommend getting all your immunizations up to date and records ready for the spring. Honestly was the bane of applying vsas because the records you have may no suffice. Not only do you need proof you're immunized, but some places require titers/proof of lab results.
Then VSAS becomes easier. Also, when VSAS opens, be on top of your school taking care of their end of things like authorizations or reviews.
These are things no one told me. Like, my school fumbled to get my immunizations.
Also, after you get those, make an appointment with your pcp or school physician. Do NOT take the risk and let an NP or PA sign off.
Also, make sure that when you get your influenza vaccine, you get the information from the vaccine like manufacturer, lot, etc.

I was lucky and the physician I had just signed the blank forms because he understood. Actually, he just gave me his email address and told me to send the PDF documents and he'd digitally sign them. Some places are annoying.

Can any physician do this? For example, say a friend is a resident and would sign forms for me...?

Wouldn't risk it. Especially a resident. God forbid they look up the name.
Not every physician does it. If you have a long time pcp or whatever, they're usually fine if they know you're doing this to make it easier for the both of you.

I still remember thinking finishing AMCAS and secondaries was the end of the hoop jumping. dumb.

From what I hear, it's good to keep a .pdf of these documents on file. I'm pretty sure I've heard people talk about the same kind of process after residency when trying to get a job.

I'd do it before spring of third year. Trust me. You'll be thankful when vsas opens and you're like "I got all these documents already! "
Plus, I'm pretty sure these documents will always be needed somewhere else in the future. I have told this to all underclassmen. Get your records and keep them.

First year medical school was a hilarious conversation with administration demanding me health records proving I was immunized.
Only funny because my records showed I had them. But the administration never thought to look at me "employee file" for the university showing that. This was after I told them that.
"We don't see it"
"it's under my employee records"
"we don't see it"
"....employee, not medical student"
"you were an employee? "
"....yes"
"why didn't you tell us? "
And then my brain exploded.
 
But seriously, get aways sorted out early!! I sent in two of my options in May, and one was instantly full. Now I am scrambling hoping to snag a another spot last minute. It's not fun. Be ready to submit the first day you can.
