Deans form mess up and confusion help!

So I am currently an applicant in this cycle. During August I submitted a Deans Form through my undergraduate institution in order to complete my application to one of my in state medical colleges. I even emailed to ensure that they received it, which they confirmed. A few days later I saw that my application was still incomplete and the form was not processed. I then reached out to ask what needed to be done for my application to be completed and was told that it had been processed and completed.

Two months later (mid october), I received an automated email from the portal saying my application was incomplete. I then reached out again and then I received an automated email from the portal saying my application was completed not too long after. The office then responded with an email asking me to confirm if I saw it was completed on my end. It was, but I was confused on what happened and I reached out asking, but since then they have not responded at all even though I have emailed and called the office multiple times.

I'm not really sure what to do at this point, I know these are reviewed on a rolling basis and it sucks knowing that my application was just being shoved behind for two months. This is one of my top schools and I even work at this school right now. Does anyone have any recommendations on what I should do?

EDIT: In the original post I said "Two months later (mid-august)" when it is supposed to say mid-october. Sorry for the confusion

So if I'm hearing this right here's the order of events:
1. You submit deans form request, form isn't processed initially
2. You follow up, deans office confirms form was processed and completed
3. You (later?) receive email saying app was incomplete, you follow up indicating the deans form was submitted
4. Your portal updates to completed not long after, and the office has not responded to your confirmation that the portal updated

So in other words to me, a layman, it sounds like you're marked complete in the portal? If so, then the reason they're probably not responding to you is because for all purposes it's complete and your app is somewhere in the decision making process.

If this is a correct interpretation, then I will give simple advice: Put it behind you and move on. There's certainly nothing you can do to rectify where in the pecking order your app landed, and depending on exactly how rolling your school is you may not be at a severe disadvantage.

There is a good learning lesson to be had here though: Be more vigilant about following up, especially when requested.
 
Why did you wait this long? Do you have dated screenshots? Did you share them back in... September?

I definitely would have said something earlier if I was aware, so I wasn't necessarily waiting. I 100% understand however that I should've checked the portal after I had communicated with them in August in September or so and that is on me.

After I had followed up again in August, they told me everything was completed and processed, so didn't think much about it. From when I found out and fixed the issue in October, I have followed up multiple times via email and phone but have not received a response.

I do have the email thread. Each follow up has been sent in the same thread, and I even quoted the above emails, which have time stamps on them.

Yes, this is more or less what happened. I understand I should have probably been more vigilant about checking the portal to confirm. After the first email which they confirmed everything was ok, I thought everything was as such, maybe something was just wrong on my end (I was in China at the time, so I also thought there was some firewall issue). Then, later on it turns out that was wrong. I appreciate the advice; it just feels kind of bad when I've reached out many times over the last month and a half but there hasn't been any response. I do know that my app is completely processed since my second time reaching out so at least I know it's out there.

Sorry I realized that on my original post I said mid-august, when I meant mid-october
