How do programs know?

How do programs know when we apply? I accidentally submitted an application for a program that was past it's deadline, I'm wondering how programs know? On the tracking system, it only says when programs upload the documents, but not when they are available. So how would the program know?
 
One of the fields on the application to us is the day of application, so we would know.

You mean other than the date that the ERAS general app is submitted or is this in addition to that?

Also, what happens when most of the app materials are in, but something is missing, like a letter or something like that? That's my situation right now. I'm waiting for one of my letters to be uploaded, but the rest of the app is in. Do programs reject an app like that or is it considered?

From your MyERAS page, go to the "track applications" tab. This shows when programs "download" your information from the post-office. Many programs list what is required for you to be considered "complete." It depends on what is missing. If you are waiting on letter 4, and the program only requires 3, then you're complete. But dude, it's November 2nd - deadlines are fast approaching, or already passed. I'd get that letter.

Letter has been written and sent to my school, i'm just waiting for my school to upload it to eras. I have a ton of completed apps with numerous letters for countless programs, but for some programs I need a specific letter, and my school well, has been slow!

Also, yes I realize that you can see when programs have downloaded, but many times it takes them a while for them to actually download anything! for example, i added some programs early last week and I'm still waiting for them to download the documents. clearly i applied way before the deadline and it shows now that the documents are available, but on the tracking it just dates when the program downloaded, vs when we made it available.

Some programs only check for new documents once a week. This demonstrates why ERAS is like an election - apply early and apply often. With regards to deadlines; obviously a program will count you as "on time" if ERAS shows all of your documents in, regardless of whether they downloaded it all on the deadline or after.

PS "countless" programs? You really aren't tracking this?

I know exactly how many programs I applied to, I just don't want to give the specific # here given how excessively overboard I went. 🙂
