Logging rolling admission groups (on Time2Track)?

Hey everyone,

I recently started a new practicum site at a PHP/IOP program and will be leading a lot of groups. In the past, the groups I’ve led have been concrete (e.g., 5-week ACT group with the same members each group), so logging the group name and the “individuals” that comprise it was easy.

At this location, you either get assigned to run PHP or IOP each day, and each group has rolling admission and rolling discharges, so there is no concrete start or end for a specific group of participants. For example, the group I’ve started cofacilitating has already had 2 discharges and 3 new admits.

How should I add “individuals” to these groups, if the individuals will vary each week?

I had to do this a lot and it was a huge pain lol. Basically I created a coding system that told me the year, their gender and age. One example would be 21XX62 which to me meant group from 2021, person, age 62. In the patient profile in T2T I would add any notes I had on gender, ethnicity, disability, and sexual orientation. Adding that detail in the patient profile was a huge pain, but I really did have internship and residency interviews that asked for demographic data regarding my experiences.
