Does anyone know how the e signature works? Is there also a survey that goes along to the therapist evaluating the applicant in some way? Or is it just the esignsture?

I think there is an error on PTCAS. I submitted hours for verification to my PT and he got a recommendation form and was thoroughly confused. However, the second time he logged on it just showed him the actual verification form.
Tell your PT to log on for a second time to see if it delivers the correct prompt.

Just got this email from PTCAS.

Thank you for applying through PTCAS. As you may know, we recently transitioned to a new and improved platform for the PTCAS application. Unfortunately, the new system has resulted in a few unexpected issues that are affecting the applicant experience, specifically in the Observation Hours section of the application. We are working to resolve these issues as quickly as possible and are alerting you now, so you’re aware and may share with your verifiers/evaluators, as appropriate:
  1. Applicant is unable to use same email address for both PT verifier and evaluator: Applicants who intend to use the same individual to verify their PT observation hours and letter of reference (evaluation) can avoid this technical issue by entering the individual’s contact information under the Observation Hours section first and before entering it into the Reference section. If done in this order, the system will accept the use of the same email address in both sections.

  2. Applicants are unable to delete Observation Hours prior to PT review: Once an applicant has submitted the Observation Hour verification request to their PT verifier, the applicant cannot delete these hours until the PT verifier has either accepted or declined the PT verification request. While this minor issue only affects a small number of applicants, PTCAS is working to address and resolve it shortly.

  3. Physical therapists who attempt to verify an applicant’s PT observation hours are routed to the wrong screen: We recognize this issue in the PT hours verification portal is causing confusion and frustration among both applicants and verifiers. Until a permanent fix is available, PT verifiers should do the following to bypass this issue. Once a physical therapist accepts a request to verify an applicant’s hours in the PTCAS portal and sees the incorrect screen, they should click the F5 key on their computer to refresh the screen. Upon refreshing, the correct screen will automatically appear and the PT will then be able to verify the applicant’s hours.
While technical glitches are common with new technology, PTCAS is working diligently to remedy them as soon as possible. We regret the disruption and sincerely apologize for the inconvenience.
Thank you for your patience!

On that note: I just tried to do number 3 on that list and it still didn't work 😉. This is frustrating for sure.

Is there a form we must use for observation verification? Or can I write up a letter and just get the signatures from the verifier? With the old ptcas system, I remember I had to print the form with the barcodes assigned by ptcas for each verification. Thank you for your help -

I just typed up the form

On your typed letter did you include a place for there PT license or just a place for them to sign? I'm not sure if we have to include the license number or not.

Would you mind sharing what exactly you included on the typed form?
This please
There's a PT that hasn't responded to my emails to verify my hours and I'm looking to do the same. Are there certain things we must include on the typed form?

So key things I included was the date I started, the full name of the place, how many hours I've completed there, and the name of the pt with contact email. Then I made a line so he can sign and I typed his name out and title under it

This please

We're in the same position one of my PTs aren't responding either. I contacted PTCAS about this unfortunately they can't do anything until he accepts or declines the hours on his end.

I'm going to try to replicate the form you made and bring it to the clinic. Hopefully she'll just sign it. Thanks for the info

she'll sign it but you won't be able to upload it due to the e-mail being sent out already

This years DPT students will reflect more of the population that was able to make it through the new systems bugs than the qualified population.

I haven't sent out the email to her through PTCAS yet. I just tried to contact her via email to let her know I need my hours verified, and she's never responded. So hopefully she'll be okay with just signing the paper form

Oh nice so you should be good

Had my PT verify my hours and he said that after that he was also asked for a reference, even though I didn't list him under that section. Now my hours say they're only "Accepted" not "Completed", even though there were no other steps regarding observation hours for the PT to complete. Anyone else have this problem? I emailed PTCAS support about it too..

I'm having the exact same problem. I have one verification that says "complete" and the other says "accepted". I emailed PTCAS support last Wednesday and still haven't received a reply.

The PT told me on her end it shows that the hours were verified. I went ahead and sent her another automated email this evening explaining the situation. If it doesn't work the second time, I may have to have her sign a form instead.

I actually had the PT look at it again and he tried submitting the hours again from the same email he received the first time and it worked!

Does anyone know if this is normal? I submitted an E-signature form to one of the PT's i shadowed, and he said at first it wouldn't let him click "completed". But I just received an email from PTCAS saying "This is to inform you that your evaluation from has successfully been submitted to PTCAS.". When I go and look in the Observation hour section it says the status is "Completed". Should this be alright or has it happened to anyone else?

I submitted my hours and the hours are shown to be complete but they also got put under the references section too even tho I didn't mean to ask them for a reference

That literally happened to me right now too!! This new application system is truly such a mess.

This happened to me too!! It now shows that I have 10 reference requests for every time I deleted and added observation hour requests because I was having so many issues with that! This system is so frustrating, I e-submitted on Friday hoping I had gotten through all the technical difficulties. I hope it doesn't actually show the schools that I'm waiting to receive all those references.

Just called PTCAS after being on the phone for 30 minutes I got a hold of someone, they said they just found out about this issue this morning. They said they are working to resolve it but that it doesn't appear to be a content issue but just that they got doubled up, meaning he doesn't think that oberservation hours are actually references but are just appearing in the Reference Section.

I noticed the same thing last night and flipped out. But, when I downloaded my application, it only shows the 4 references and 4 observation settings. So, it doesn't appear that everyone was actually sent a LOR request.
