hi all,
when do you send these? how will the schools know what to do with them if they haven't received your formal application? i realize i probably need to ask specific schools, but i figured i get a general sense before i email them all.
thanks

For the vast majority of schools, you can send these items whenever you want, as long as they arrive before the deadline. When a school receives any piece of your application they will start a folder for you and put any subsequent pieces that arrive in there as they come until your file is complete.

A lot of schools will also ask you to send your transcripts directly with your application package so they all come together. Otherwise, anytime before applications are due.

Yeah I guess I was asking more about GRE scores. It seems like they vary in how long they take to arrive so I want to send them early, but am worried the schools won't know what to do with them when they arrive

They'll realize what they are for. I would send them as early as possible, just in case ETS screws up (cause you know, that never happens 🙄). I would also call your schools in however long to confirm that they got your scores.

How do we send transcripts? Do we request them from our undergrad school and have them sent directly to the PhD program, or do we have the undergrad school send them to us and then send them ourselves to the PhD program? The schools I'm applying to don't specify which they prefer.

Generally, get your undergrad to send them to you (in a sealed envelope) and then you send them on with your application package. This is typically the way to do it unless the specific school asks otherwise.

I had my undergrad mail official transcripts to each of my schools. Unless schools require that you keep everything together, I don't know that it matters how your transcripts get there... as long as they do before the deadline.

Hmmmm....none of the schools I'm applying to says specificially how they want it done. I think it would be easier to send them to the schools myself, that way everything is together. What do others think?

Thanks.

I'd think they would appreciate everything coming in one package.

I put my transcripts in the big envelopes I sent to each school, except for one school which requested that they come straight from the UG.

I don't know how well your transcript/registrar's office works, but I certainly didn't trust mine to send the correct number of transcripts to the correct schools.🙂

Ok, so do I have to have the registrar send the transcript to me in a sealed envelope? Isn't just requesting an official transcript enough or must it be in a sealed envelope?

If you send it as one big package you have greater odds that they got everything. You have to keep in mind that many these admissions offices are understaffed (they can''t always handle the 400 applicants sending in 10 different application materials separately). A few of the schools that I applied to lost my transcript and GRE scores the first time around, so be sure to give yourself enough time to send these things a 2nd or 3rd time if need be.

The registrar should send it in a signed sealed envelope automatically because that's the difference between an unofficial and an official transcript.

I had a wide range of requirements from schools. Some had online applications and wanted the transcripts sent directly from UG. A couple had online apps but wanted LORs and transcripts sent seperately from UG and writers. Others had online apps, and wanted me to send LORs and transcripts (both in sealed/signed envelopes) sent in one big package. Only two had me do everything hard copy and in one envelope.

The thing is that each university had very clear, specific instructions for how they wanted this done. I suggest you start a spreadsheet with all this info so you can keep it straight. It WILL get confusing!

Hello, everyone! I too have a question regarding when to send GRE scores.. I took the General test in August and the Subject test on the 6th of this month. ETS claims that it takes 6 weeks for me to receive my scores, so at that rate, I would probably receive my Subject scores around the 17th of November.. Also, at the time of testing, I didn't designate any schools to receive the scores because I was still narrowing down my list..

Question is.. I have a lot of December 1st deadlines (for clinical PhD programs).. now, do I have to wait to receive my own score report until I can request the scores be sent? Meaning, I would have to wait at least until the 17th to have ETS send out my scores (and have the subject test score listed)? I think that may be the case, in which case, it makes me a bit nervous because it's sort of cutting it close to the deadlines..

Anyway, any insight will be very helpful! Thanks!

hi,

i'm pretty sure that you can request scores before you have received them- on the additional score report form, it specifies that if you have requested scores for a test that you haven't taken yet, and have other scores, all scores will be sent once the test is taken (i.e. old scores won't be sent first, and then new scores when they arrive). so i'm under the impression that since you've already taken the test, you should be able to request scores. i would check with ETS though.

Thanks for clarifying! That does seem to be the case.. I think I need to read fine prints a lot better from now on... 🙂

you can definitely send them out before you receive them. it's probably recommended since ETS will take weeks to send a score report to the schools after you request them. and, as a horror story aside, they just never sent my SAT scores to my undergrad school when i applied. so i would suggest sending them asap and calling the school to ensure that they've been received (and include a copy of them in the application!). it's a little extra work, but worth it.
