When should you ask preceptor about letter of rec and where should it be sent to

so my rotation is almost over and i feel i really clicked with my preceptor, when should i ask for the letter of rec? and where should i ask him to send it to?

Our student affairs office collected letters for us, converted them to PDF and uploaded them to ERAS. I think most preceptors would like to have more information from you even if you click well with them. I did have one preceptor at the beginning of third year send in a LOR on my behalf without me asking or knowing. It was humbling, but I do wonder what was in it because at the time I had no set specialty and obviously did not have a personal statement for him to read.

I would ask your student affairs office who handles the materials for your ERAS application. See if someone does it or if the physician needs to directly send it to ERAS. If they need to send it to ERAS, then you need an ERAS account which you won't get access to until the end of 3rd year.

Personally, I would stay in contact with the physician (exchange information) and send him or her periodic updates of how you're doing and what you're learning. Keep it casual and don't send a "diary" entry every week. As long as you stay on his or her radar, a letter should be easy to write in the future and will probably be stronger with a CV and PS available.
 
You have a couple options.

Our student affairs office will hold certain LORs until ERAS opens, so you can find out if your school will do that.

Alternatively, you could ask for a letter, so they can write about your attributes while you're still fresh in their mind, but request that they hold onto it until ERAS opens next year. When you get into ERAS, you can get back in contact with them, send your personal statement and updated CV as well as the letter request form, and get them to upload it.
