Hey everyone, do you guys know if it acceptable to cancel interviews due to emergency circumstances? Will this in any way affect the match process with the other sites?

If so, what is more appropriate-phone or email?

It depends on the reason, but I think most sites will be understanding. I have seen this happen twice (once due to a family medical problem and another due to bad weather), and both instances the people were able to work out a phone interview and an alternative date. In one of those cases the person actually matched to the site, FWIW.

I got very sick right before an interview in December and called the secretary 2 days before to postpone the interview (they had about 7 interview dates and I was scheduled for their 1st date). I didn't get a sense that it affected my chances at the site (my interviewers didn't mention anything or treated me any differently). I would definitely call the contact person. Good luck!

You can, but understand that if/when you pull out of the match, you'll have to explain why if you choose to re-apply next year.

I spent a good portion of one of my individual staff interviews discussing some of the lesser known Maurice Ravel compositions. I later matched to the site and was given a recording of a few of the pieces...and I still have the CD. 😀 Great music for people who enjoy "modern" classical work.
 
As someone trying to interview in the south and southeast this week, wondering if any others out there are also running into cancelled flights, closed airports, or sites that are closed due to inclement weather on interview days. On the plus side, it does make an applicant memorable if they are scheduled to interview on such an eventful day!
 
Hi all, I have a question about the ranking system used in the match, if anyone has any insight. Say I have two sites: Site X and Site Z. Site X has 6 positions, and site Z has 3. I rank site X as number one, and site Z as number two. On the other end, site X ranks me as number 6, and size Z ranks me as number 1. Which would I get matched too? Basically, is the match algorithim weighted to the applicants favor? Or is it more of a mathematical equation that dictates placement?

You would be matched to Site X. The system starts by matching the applicant with his/her first choice. So if you fall anywhere within their top 6 (or even lower if someone they wanted more than you ranked another site higher that wanted them) then you go to your top choice. The way you are ranked by your lower preference sites has no bearing. Simply put, rank how you really want to be considered.
 
Correct. However, If 2 (or multiple) sites have you ranked as the number 1...it would favor your first ranking (favor the applicant in that case).
 
Yes I am furious at the snow and the SLOW pace these southern states are handling/removing the snow. I spent at least $500 on hotel and flights to get down there and then on Monday, my interview place SHUT DOWN! I didn't want to get stranded (and since we're expecting a northeastern snow storm...) I got on the last flight back to the north. And thank God I did because they're still postponing the interviews today! I know we have no control over the weather, but I didn't get to see the site, I didn't meet anyone. I just stayed in the hotel and ate an overpriced buffet breakfast. 👎 It doesn't make the site look good in my eyes right now (and I am aware that it's not a very objective way of seeing the situation).

That has always been my understanding as well. It is kinda nice that the applicant gets at least one huge advantage in the whole awful process. :laugh:

They're definitely getting hammered, in large part because the states simply aren't equipped to handle the large amounts of ice now formed on many of the roads. I've already heard from one site asking if I will be able to make my interview on Friday, and I've emailed another in the region that was originally scheduled for Thursday. Given the road closings in the area and the near-freezing temperatures for the next few days, I'd be exceedingly surprised if any significant travel were able to occur before Friday.

Well technically neither the applicant nor the site has an advantage accordingly to the MATCH website...

1. Does the Matching Program favor applicants or programs?

Neither. Both applicants' and programs' Rank Order Lists are used to provide the best match possible for each applicant and each program. Applicants' and programs' preferences are given equal weight in the process.

There does exist one fairly rare situation in which an applicant's preferences are favored. This occurs when two programs and two applicants have conflicting preferences, as in the following example:


PROGRAM A
1. Applicant Y
2. Applicant Z

PROGRAM B
1. Applicant Z
2. Applicant Y

APPLICANT Y
1. Program B
2. Program A

APPLICANT Z
1. Program A
2. Program B

Program "A" prefers applicant "Y", and program "B" prefers applicant "Z"; however, applicant "Y" prefers program "B", while applicant "Z" prefers program "A." In the matching process, this conflict (which research shows occurs for only 1 in every 1,000 applicants) is resolved by using the applicants' preferences.
 
By the way, NY is anticipating a storm too (the same one?). Bronx VA canceled its open house for tomorrow and other sites are just waiting to see how bad the snow will get. 10 inches they predict... I hope they learn from the last storm and salt the heck out of the roads. I've an interview tomorrow and I really don't want to reschedule!

Yep, the northeast is apparently about to be on the receiving end of the same snow/ice storm that just passed through the south. Best of luck to you and everyone else up in that region, and here's to hoping people's interview schedules aren't too horribly impacted by all of this.
 
FYI- University of Maine is still sorting applications and have yet to be reviewed by faculty. Interview date will be 2/14.
 
Snow is stressful on both sides. I know my former site had two years in a row where snow negatively impacted the interview days. First and foremost as a site, they want to make sure the applicants are safe. They have just as much a desire to meet the applicants as the applicants want to visit the site. Hang in there, I know it is stressful. I traveled to multiple sites during bad snow storms, and everyone had to make some adjustments.
 
St. Lukes/Roosevelt in NYC postponed start time for Wednesday interviews from 9 to 9:30, due to expected 6-12 inch snowfall. Glad....would have been annoying if I had to fly out again for the interview. Hopefully NYC will do a better job with roads this time than they did Christmas time 🙂

I have a quick question for everyone... I am sending out some thank you notes and am wondering how to do it. I know I want to mail it, and I bought these very nice note cards that are blank inside and was going to write a brief thank you for the opportunity, but was wondering: should I skip the card and just type a thank you letter or keep the hand-written card idea? also what are you guys actually writing in the thank you notes? lol...AHHH

I am of the belief that thank you notes, while a nice gesture, are ultimately pointless. I understand the desire to keep one's name "visible", but most internship ranking lists are collaborative efforts that involve a committee. So even if you decide to send a thank you note/email to the TD or specific interviewers it will likely not affect your chances of being ranked higher overall. Perhaps I think a bit differently about things, but if I were on the other side I would probably view thank you notes (esp. elaborate ones to multiple people at the site) as a sign that the applicant is just not busy enough during interview season.

I send brief thank you emails to the people I interviewed with. It's really just who I am and has nothing to do with keeping my name fresh in their minds, etc. These people take the time to read my materials, and in many cases my publications, spend a good deal of time sitting down with me, and give a lot of valuable insight into their program. I appreciate the effort they put in, so I like to let them know that. But, I also thank pretty much anyone who does anything for me, even if it's their job (e.g., mail person, garbage person, Walmart checkers, waiters, etc).

To the people that say thank you notes don't influence people, I tend to agree with you, but it might be worth looking at some of the social psych research in the area (e.g., Grant & Gino, 2010). As an anecdote, After one interview (which I felt went very well), I sent brief thank you notes to the people I interviewed with. Within days, I received an email from one of the people at the site (who I sent a thank you email to) saying they would like the chance to speak with me more and scheduled a phone interview. A few days after the phone interview I received an email from a different person at that site (who I had sent a thank you email to), saying they too would like to speak with me again and requested an additional phone interview. Both phone interviews seem to go very good as well. I left with the impression that the site would really like me and that we were a good fit (and I think this feeling was mutual). Would I have had this additional contact had I not sent the thank you's? Maybe, but it didn't hurt, and I was genuinely thankful for their time.

I send really brief hand written notes of thank you via postal mail. Like I said, my notes are very brief (3-4 sentences tops), but like the above poster, its just something I have always done and do for just about every other thing in my life where people go out of their way for me. I highly doubt it effects my rankings or influences their opinion of me, but I still think its important. Its definitely a rough process on our side, but its also difficult on the other side too....

If it's just who you are, have at it 👍, BUT if it is any way stress-provoking (agonizing over what is appropriate to say) or time-consuming (mailing tons of things) then you might be better off focusing on standing out in the actual interview--where it counts.

I can't speak to whether this is atypical, but nothing Addicted2Stats described is bordering on violating match rules. Greg Keilen clarified the rules regarding communication of rank-related information in a match news email: both the interviewers and the interviewee can make statements about goodness. Regarding post-interview contact, I would keep it brief and use your clinical skills to gauge how appropriate it is with specific faculty. There is not prohibition against post-interview contact.

I agree. What do you view as the borderline offense here?

In addition to selling my qualification and fit with the training program, I have not been shy about telling a couple sites in particular (in the same town) that my wife and I have desperatley been wanting to move back to said location, we view the internship process as a chance to do it, and that we would undoubtedly be very happy there. It doesnt take a genious to figure out what Im saying with this...but I am certainly not breaking any rules with that. Conversely, I have had sites tell me that I am a particularly good match due to X or Y. A possible sign that I may be ahead of the pack in some ways, but they didnt break any rules.
 
I'm on faculty in a med school with an internship program. At the end of the day, a thank you note (or lack thereof) will not make or break your rank. But it's a kind gesture that is always appreciated. Regardless of what happens in the match, these interviews are important for networking. So an extra kind gesture can only work in your favor when we see you again at conferences, workshops, etc.

With that said, an email is fine! There is no need for a handwritten note unless you just like to buy nice stationery.

Although no specific talk of ranking was mentioned, which is the definite no-no, it is certainly not a stretch to see how being afforded subsequent interviews or multiple post-interview contacts would shift the balance of fairness. Esp. if the site doesn't mention this practice in their brochure. Let's be real here.

Although I understand your concerns, I have to respectfully disagree with you regarding the goals of the guidelines. The match policies regarding ranking information were reportedly developed to "provide applicants and programs with a pressure-free environment in which to make their ranking decisions." Those are Greg Keilen's words not mine. In addition, the idea that there is any limit on site-to-applicant contact has been labeled as a myth by APPIC and Greg Keilen.

I will admit I have been frustrated by certain parts of this process and can understand your concerns; however, I don't believe that APPIC's policies can make this process any more fair than current laws regarding hiring practices. Contact outside of the interview may be a gamble, unfair, or a game changer. As far as APPIC is concerned, however, it is not regulated, with the exception of ranking info.

I hear you and appreciate the references. I am aware that APPIC guidelines are very limited in terms of what is prohibited. Perhaps this is just my hang-up, but I believe that if there is going to be a structured process in place then it should be effective and meaningful. I am a stickler (or stick-in-the-mud) in terms of my aversion to schmooze approaches in terms of the MATCH. Of course others may not see it that way, but it is kind of interesting how this example began with opinions regarding thank you notes (benign issue) that grew into post-interview contact which, IMO, is the preemptive factor that could easily lead to a break in policy.

Anyway, I do not want to go to far down this road. At least not here. I am open to PM discussion as well. This thread should be a place for applicants to DEstress. So, whatever your approach and whatever part of the journey you are on: Good Luck. Kick ass. :luck:
 
I feel no guilt in "selling" myself, my stengths, and how my weakness can be adressed by their program during interviews. Its a job interview, essentially. I think socially appopriate "smooshing" should be expected, basically.

Erg, I am not talking about selling yourself. It would be silly NOT to talk yourself up (including ties to the area) in the interview. I am referring specifically to acts outside of the interview that could lead down that slippery slope... Which I shan't revisit in the spirit of positivity on this thread at the this sensitive time. 🙂

I definitely understand where you are coming from, and please don't interpret my responses as anything but clarification on an often misunderstood part of APPIC's policies.

Honestly, I have been pleasantly surprised by how different parts of the internship process have been set up to allow individuals to demonstrate their strengths in more than one area. For example, I have a few close colleagues who write beautifully, but are not nearly as eloquent in their initial interpersonal interactions. Had they not been afforded the opportunity of the essays, it is likely this process would not have treated them fairly. I also have colleagues who struggled with the essays, but whom have been well accepted by sites due to their interpersonal strengths. Schmoozing may seem wrong sometimes, but, for some sites, it is a very desirable quality in an intern. My goal in responding to this discussion has not been to discredit your opinion, but to make sure students who are unsure of the policies know their options in this regard.

On an unrelated topic, I really appreciate that this thread has kept going through this part of the internship process. Although I have been slacking on posting, thank you to all of you who have provided encouraging words. We can do this thing.

In regards to sending thank you notes, I agree it probably has no influence on your success at being ranked, and it should only be done if it fits with your interpersonal style. I was wondering though, if you do send a note (via email) and don't hear back from a site, is that a bad sign?

This is unrelated to anything mentioned above but I figured that everyone might enjoy it (and who couldn't use a good laugh during this stressful process??)... I saw this at the bottom of an e-mail and literally laughed out loud. Enjoy!

How many people have succumb to colds and/or upper respiratory infections from all the flights and hotels? I am one such casualty.
 
Is there anyway (archive posts or something) to view the sites that didn't fill last year in the initial match (ie., the clearinghouse list)? I know it varies every year but was still curious to see what kind of sites have gone into the clearinghouse in previous years.

Do you think there will be a tendency this year for sites to rank more candidates in order to avoid not filling. Obviously, not filling in the match is a huge hassle for them too, not just us. Anyone recall how many VAs were on the clearinghouse list last year?
 
I'm not sure if they do it the same way, but unmatched sites used to be "posted" the Monday after Match to a link that was e-mailed out. I can't remember if it was a website or DOC, but there may still be a list somewhere. If you poke through the internship thread last year, I'm sure you'll see a bunch of sites listed, though it will be far from exhaustive.

Is there anyway (archive posts or something) to view the sites that didn't fill last year in the initial match (ie., the clearinghouse list)? I know it varies every year but was still curious to see what kind of sites have gone into the clearinghouse in previous years.

Do you think there will be a tendency this year for sites to rank more candidates in order to avoid not filling. Obviously, not filling in the match is a huge hassle for them too, not just us. Anyone recall how many VAs were on the clearinghouse list last year?

Is there anyway (archive posts or something) to view the sites that didn't fill last year in the initial match (ie., the clearinghouse list)? I know it varies every year but was still curious to see what kind of sites have gone into the clearinghouse in previous years.

Do you think there will be a tendency this year for sites to rank more candidates in order to avoid not filling. Obviously, not filling in the match is a huge hassle for them too, not just us. Anyone recall how many VAs were on the clearinghouse list last year?

Is there anyway (archive posts or something) to view the sites that didn't fill last year in the initial match (ie., the clearinghouse list)? I know it varies every year but was still curious to see what kind of sites have gone into the clearinghouse in previous years.

Do you think there will be a tendency this year for sites to rank more candidates in order to avoid not filling. Obviously, not filling in the match is a huge hassle for them too, not just us. Anyone recall how many VAs were on the clearinghouse list last year?

I was wondering what other people's programs do about paying for tuition to stay "continuously enrolled" while attending internship at another site. If I understand it correctly, my program has us pay for 2 credits each semester of internship (that are not waived), but this is not enough credits to defer or take out additional Stafford loans I believe, unless there is some way for them to consider the full time internship as a full-time student training experience. Anyone have any experience with this or ways to make this work?
 
Since I completed all my coursework a year ago, I pay for only 1 credit / semester and then the chair of dept signs a form helping me "force status" as a half-time student so my loans can be deferred. Most programs have something similar for ABDs working on dissertation/research. Just make sure you stay on top of this! For my prog, we have to get this form signed EVERY semester, and I didn't know this initially. I totally freaked out when 5 different agencies were requesting that I pay them and I was broke. Everything worked out though in the end.

At my school, if you're on internship or working on your dissertation, you're still considered "full-time" and eligible for federal loans.

How are you registered with your program during internship? I'm trying to figure out what registration options will work for this that I can talk to my program about.
