Per APPIC guidelines, they should be sending both. Not necessarily at the same time, but certainly by the deadline they reported on the APPIC website. It allows people to know their status and plan ahead.

Having said that, 1) I did receive a late email (only by two hours, but still late), and 2) apparently some sites actually do fail to notify properly (for which they can experience consequences).

I believe they are encouraged to send out both invites and rejections by their stated notification date.

Here is a helpful excerpt RE: notification date protocol sent out last year by Greg Kellin (the person who oversees the APPIC Match News feed):

"While APPIC continues to recommend a December 15th interview notification date, some internship sites are unable to meet this recommended (i.e., optional) date. Thus, applicants should consult the APPIC Directory Online to determine the specific interview notification date for each APPIC-member program to which they applied.

It is important for applicants to understand that Training Directors work very hard to meet this notification date, and notifications can sometimes arrive at the last minute. Furthermore, some sites don't send all of their notifications out on the same day. Applicants should contact a site to inquire about their interview status only if they haven't heard from that site by the morning of the day after its published interview notification date. Applicants should never make assumptions about their interview status with a site until they have received the notification from that site. In the event that you don't receive an interview notification in a timely manner, then (1) check your "junk mail" or "spam" folder to see if it ended up there, and (2) contact the site the day after that site's interview notification date to inquire about your status."

Hope that helps!

I agree. The term “required” is noted on the APPIC site but surely there are some sites that do not abide anyway. While sites may not experience consequences, at least to one’s knowledge, there is also a tremendous power dynamic and little understanding of these nuances and procedures for those of us who likely go through this process only once. It would be somewhat frightening, if I’m to speak for myself, to reach out to APPIC and report a site - I could be the only email address that fell through the cracks, for example, which would make it very obvious that I was the one who contacted APPIC. While this is an extremely busy time, deadlines can be posted at-will and do not need to be early if a site believes that they will be unable to fulfill that timeline. But here is the actual language:

"According to the APPIC Match Policies, each site that participates in Phase I of the APPIC Match and that conducts on-site or telephone interviews is required to notify each applicant who submits a complete application to the site as to whether or not that applicant will receive an interview. Furthermore, each site is required to inform applicants in advance regarding the date (the "Interview Notification Date") by which such notification will occur. For APPIC members, this notification date must be specified in the site's Directory Online listing; for non-members, it must be included in the site's public information.

APPIC recommends that sites use December 15 as the interview notification date; however, each site is free to set whatever date it chooses. Sites are obligated via the Match Policies to notify applicants by the date that they have specified, and applicants must receive the notification by that date. Most Training Directors use e-mail rather than regular mail for this purpose.

Sites that conduct open houses to which all applicants are invited and conduct no other interviews are exempt from the above interview notification requirement (this process should be clearly stated in the APPIC Directory Online and/or sites' publicity materials).

For Phase II of the Match, no interview notification is required."

Well, technically, many of us go through this process every year, in some capacity. I would just advise in following Greg's advice. If you don't hear back on the posted day, just contact the e-mail given the following day or two and inquire. Framing the process as adversarial is just a recipe for unnecessary stress and rumination.

Yeah, I definitely wouldn't report a site to APPIC unless there are some dire circumstances. But it does look like it is still within professional guidelines to contact a site the morning after their posted notification date to follow up on the status of your application.

My assumption is I can never be docked for being gracious and replying (within limits obviously). It could, however, be perceived poorly if I don't respond; although I also feel that is doubtful. I prefer to err on the side of caution to quell my anxiety. I send back a quick thank you / excited for the interview, etc. I'm sure it doesn't get looked at but it makes me feel better.

I also send quick replies to rejections. I don't hold any ill will against a site that went a different direction and who knows how little things may later help. Post doc applications are (scarily) not too far away and it is entirely possible that these are people I will interact with again. I'd rather be remembered positively. Plus, I do actually appreciate that training directors are likewise worked to the bone atm.

I feel similarly compelled to respond. For the date confirmation it's pretty straight forward - like you mentioned, a quick "thank you" works. I want to respond to the rejections too, but am not as sure what to say. Would you mind sharing some idea of your response to the rejection messages?

Is anyone else feeling like they need to apply to more sites if they haven't gotten any invites yet??? Although I only see two of my sites listed here that people have heard from (that I have not heard from), I still feel worried that I should add to my list....

Up until now I was feeling like a decent candidate (on paper, at least?? definitely have impostor issues about the reality of my competence) but now I'm worried I applied to too many "reach" sites...

I am feeling the same way. Just have to remind myself it’s still very early in the process and each site has different things they’re looking for, which will allow us to end up at a site that’s a good fit. I applied to some (maybe too many ‍♀️) long shots just so I’d know one way or the other (even if it seems like too much bad news right now, I’m glad I applied and at least know for sure now).

We still have almost a month before all sites have to send invitations. So we have a looooong way to go.
