Guys I need help...

I accidentally typed that I worked somewhere for 62 weeks when it was actually only 38 making my hours way off. I have no idea where that typo came from or why it's occurring to me in the middle of the night, but does anyone have any suggestions for what I should do?

It clearly says my start date in January of this year, so 62 would obviously be impossible, but what can I do? Email schools embarrassingly and let them know about the typo, or hope they figure it out?
Unfortunately, that's all you can do. I had a similar problem last year where I entered the total hours in the hours per week box and the hours per week in the total hours for my exoerience. I didn't notice until after I sumitted and printed my hard copy. When I emailed VMCAS I was told that changes could not be made and was suggested to email my programs.

Silver lining, though: 2/3 programs emailed me back quickly thanking me for my update and said that it would be noted in my file. The only one that never emailed me back interviewed and eventually accepted me. It felt embarrassing at the time, but it's not the end of the world. For a mistake like that I think that it'll reflect well on you to be honest about the typo in an e-mail anyway. As you've mentioned, you clearly can't have worked that long there but they won't know if it's that it that you listed the start date wrong. It's like a 250-500 + hour difference so you should definitely note it.

You don't think people are reading the instructions?!

😉

99% of VMCAS-related questions I answer involve me reading the instructions for 5 seconds.
I keep linking to the help pages in the hopes that no new threads will be started without those being read first.

Exactly. This is my first cycle, but from digging around some older threads, it seems like this year has had more random errors, complaints, and general hang-ups than any one prior. I understand that VMCAS is trying to adopt this new 3.0 platform, but I think it should have become very clear halfway through the summer that it was broken and needed further testing.

From listening to people talk about it, it certainly sounds worse than any of the previous 5-6 years that I'm familiar with.....

Schools are WAY more understanding of that kind of thing than you sorta intuitively expect them to be. Just email the ones you applied to and let them know in a brief, professional way. Then don't lose any sleep over it. It won't change the outcome one way or the other.

. To be honest, I'd rather let the schools know it was an error ahead of time myself than have them figure out that it doesn't make sense as they're reviewing your application, wonder what happened, and even perhaps get suspicious.

That's why I'm freaking out, because it's like doubling my hours, so my start date looks weird, and my evaluator would have said differently... and yeah I'd rather them think I'm an idiot for having a typo than think I'm trying to lie about my hours.

I just feel like it makes me seem like an idiot. I proofread it 4 times before I submitted, and didn't catch that one until I went to double check the hours to fill them in our Missouri's supplement, but now my VMCAS is submitted and it's too late.

So yeah, thanks for the advice everyone, I will definitely email the schools, hopefully it doesn't reflect too poorly.

How does this email sound?

Dear so-and-so,

I'm writing to let you know that I have just noticed a typo in my already-submitted VMCAS that I wanted you to be aware of. For my experience at ________, I started on of January 9th of this year, and have been working an average of 9 hours a week since then. However, on my experiences, I accidentally typed that I have been working there for 62 weeks, which is not possible because the January start date is correct. The correct total hours should be 342.

Thank you for your understanding, and I apologize for the inconvenience.

Sincerely,

_________

It's fine. You're not the first person to typo something. Not an idiot.

I'm struggling with what and how much to say when describing achievements, especially scholarships. Should I describe the qualifications for scholarships I have received (ex: GPA, high school class rank, etc) and include the amount of the scholarship? Is that too much? The last thing I would want to do is come across as pretentious.

if it were me, I'd describe the qualifications but not the amount.

Remember, you are trying to sell yourself to vet schools.

How bad would it look to leave my explanation statement blank? I don't want to try to make excuses for any Cs I have, etc. so...

It won't look bad at all. You should really only use the explanation statement is you feel there is something major that needs to be explained.

Thank you! I think I'm going to submit my application tonight, then. :soexcited:

Anyone having trouble submitting their application within the past hour??? I've been trying to for the past hour and even though all of my sections are completed, it still shows that my application isn't ready to submit yet!!

I submitted over a week ago but had to call today when I had a minor heart attack last night trying to interpret the directions for Professional Transcript Entry.

Is it just me or does this potentially describe different scenarios of when the service will begin?

NOTE: The entry service does NOT being until your application is submitted, payment is received, AND all required transcripts are posted, at which point it may take up to ten (10) business days to complete the service. Your application is NOT entered into the verification queue until your transcript entry is approved, at which point your application goes to the end of the verification line where it may take up to an additional four weeks to be verified.

Versus...

Before professional transcript entry can begin, you must have a COMPLETE application. This means that you have submitted, paid, all transcripts have arrived at VMCAS and three letters of recommendation must be completed. Please note that the prerequisites sections of specific program materials will be DEACTIVATED until your coursework has been entered for you, so you may submit without entering prerequisites information.

When I called VMCAS today, the rep used the former directions in interpreting things and said that I was currently within the 10 business days even though I have two eLOR's that have been requested but not completed at this date. That scenario doesn't really fit with the second quoted directions though in which it clearly states that recommendations must be completed.

Now I'm wondering if I should call back and test the consistency of what I was told.

I would call again. What was the source for the first quote? I know the second one is basically what it says in the help pages.

When dealing with VMCAS, always talk to more than one person, and always verify what you're told. Document everything, seriously. The first year I applied, I filed a 'complaint,' if you will, with a manager about the serious lack of consistency on the hotline. It's a recurring issue that they seem to not care to fix. Also, love their typos.

To me, it sounds like they didn't fully explain themselves in the first set of directions. It is my understanding that VMCAS will not enter your coursework unless you have fully completed and paid for the entire application (not just the fee for the entry service), including three letters of rec. If your evaluator can submit today, you should make the deadline for that. I believe they will automatically drop your application if they don't get your entry done in time, so I would try to rush on that if you can.

Also, for all of you affected by the explanation statement fiasco: Tony Wynne (director of VMCAS) made a comment on the APVMA page about this. "This will be resolved in the next few days.. we did NOT remove the explanation statement by choice.. systematically we've had a hiccup. Our developers are rectifying this matter ASAP." If I were you guys, I'd call and pitch a fit. They neglected to communicate with a few thousand people about a huge technical glitch they experienced. They should not hesitate to reopen those applications for you.

Hey, I'm one of those procrastinators who hasn't quite finished their application, and I'm having a few concerns as I near completion: for your personal statements, how did you format them? For some reason, I can't indent my first paragraph (but all of my other paragraphs work fine) so I'm wondering if we aren't supposed to indent at all, or if I'm just having technical issues?

You can't indent within the VMCAS app, I don't think. You could add 8 spaces (the equivalent of indenting) at the start of each paragraph, if you have enough characters left.

Usually, if you indented in Microsoft Word, it will show up when you copy/paste, but your formatting will be lost once VMCAS processes it. They usually recommend typing it out in notepad, then copy/pasting.

I dropped the indent and just made sure there was a space between my paragraphs.
I thought about manually adding one because I did have free characters... but I was worried it would show up looking wonky (I've had that experience in the past with forms that don't let you indent).
I'm sure the schools realize that you can't indent so I don't think they'll care as long as it looks neat.

I had a similar experience, but with VMCAS. Everything copy/pasted beautifully and looked great on my pdf, but the school got an essay full or random ?'s. Like when a font doesn't translate between computers or something. The schools didn't hold it against me but they said it was very hard to read, even though it as a well-written essay. VMCAS then told me the next year that they recommend typing our essays in notepad.

:yeahright:

Hmm, I typed mine in Word, do you think if I paste it into notepad, correct any formatting weirdness, then paste from notepad into VMCAS that will work okay?

I'm not that computer-savvy, but I think even copy/pasting from Word to notepad won't work well. Give it a shot. I just ended up retyping my essay into notepad, then copy/pasting it last year.

Which, now that I say that, I might as well just have retyped it into VMCAS. lol.

I don't remember if I remembered to put in notepad before I put it in the VMCAS box.
I definitely intended to but I don't recall actually doing it.
Awesome.

I feel like this should not be something we have to worry about. Why can't they just make it function? Geez.

You'll probably be fine. If I recall I just copy and pasted mine straight from word and as far as i know everything was good. Issues like the one pinkpuppy had seem to be rare (I don't think everyone remembers to use notepad but I haven't heard of more than two people having that particular problem).

I think it's actually really common, just no one hears about it. The only way I knew about it was because I had a file review with a school's dean of admissions, and he brought it up. He said he sees it all the time, but they know it's not an applicant error so they just do their best to read the essay as it was intended to be read. When I talked to VMCAS about it, they basically said it should be known that copy/pasting from Word can cause those problems. I still don't get why it didn't show up on my app pdf, though.

The dean compared it to copy/pasting from a pdf into Word. Things just go wonky when you do that. He said when the schools have meeting to talk with VMCAS about application stuff, they've brought it to their attention. So who knows. Again, not computer savvy, but I don't think you can change the fact that word -> VMCAS sometimes screws things up.

Interesting. Well either way since the schools know it's a VMCAS issue it's not something I would worry too much about after the fact.

I just copied and pasted from Word and had zero issues. When I printed off my application after submitting everything looked perfect. I wouldn't worry

Does anyone know if you get a notification that they've received your transcript if you already submitted one? I sent an updated transcript over a week ago and already submitted VMCAS because I figured they'd have the new one by the time they got to me in the queue (someone from customer service told me this when I called)... but I still haven't gotten a notification, and I'm getting worried.

I know someone said previously they submitted on the 17th and their application was verified the 25th... mine was submitted and 'verifying' on the 19th, and is still on the 'verifying' stage now. any new approximate time periods of anyone who has recently been verified would be greatly appreciated. and make me stop going crazy.

You should be able to see a record of the dates they received transcripts. I don't have an application open, so I can't exactly walk you through where to find it. With the old application, it was something like "#of transcripts received: ____" and you could click on it and see the dates VMCAS received them. Dig around and see if they still have that this year

It just says "transcript received" no dates...

Both quotes come from the same page in the Instructions and FAQs section under "VMCAS Professional Transcript Entry Service." That first part is the bolded note at the top of the page. The second part comes from lower on the page under the subsection "Submit and COMPLETE your application." (http://help.unicas.com:8888/vmcasHe...ory/vmcas-coursework-entry-service/index.html)

Frankly, I e-mailed them back in May about problems with their directions and the complete omission from the terms of service about how PTE actually works (false advertisement) and at that time they wrote to me saying that they were working on "adding more descriptive language." So, much of the directions on that page have been added in June and later (I originally contacted them on May 27th after I had paid for the service and received a confirmation e-mail with very different directions/expectations).

On the phone Friday the person I talked to told me that "completed means submitted" after I read those two passages to her. She seemed pretty confident, but I guess that I'll find out.

We're supposed to get a message from VMCAS saying they received our transcripts. I'm might have to call them Tuesday because one of my institutions sent a copy of the transcript to them between the 24 and 26 and I still haven't gotten anything from VMCAS saying they've received it. When I e-mailed VMCAS about it last week, they said, "If you are inquiring about the status of your transcript, please note that it takes 7-10 BUSINESS DAYS for a transcript to be received and posted to your application, FROM THE DATE IT REACHES OUR OFFICE. You will be sent an email once the transcript has been posted. If it has been longer than ten business days, and your transcript would not be listed under another name, then you may want to have your transcript sent to us again. If you have questions on how to send your transcripts to us, please visit the transcripts section of the instructions here: blah blah blah poorly done frequently asked questions page."

Well, my problem is that I'll need to know Tuesday if I need to resend these transcripts. I would have sent them sooner, but these needed to wait for summer grades. I had been told by VMCAS I couldn't send in new transcripts with summer grades from a school, so I waited until summer grades were available. Poor life choice. I'm not going to submit until that transcript gets in since there won't be enough time for a resend. We'll just have to see. It's only been 7 business days max since they've received it.

I submitted on the 20th and it is STILL verifying as well. So you're not alone!

I'm glad I at least sent the one, but I'm worried they'll screw me over because I did list the 3 summer course grades and tell me the transcript is "missing" and not verify me... but yeah I'm gonna call. I'm like 99% sure they recieved it because like I said before, my school is in Boston so it takes like a day for them to get the Watertown. And when I sent the first one, I got a notification about it like 3 days after sending. Maybe they're busier now than they were in June I'm sure, but like you said, if I do need to send another, I do need to know NOW.

Is it a good idea to indicate in the supplemental questions/essays for your top choice school that they are your top choice? I've heard from allo applicants that med schools like to preserve their admitted/enrolled ratio and are more likely to admit if they're confident you will accept. Does this carry over for vet programs? Any reasons why it might not be a good idea to mention to a school that they are your top choice?

I'm not sure if it would sway their decision at all, but I can't imagine that it would hurt.

I guess it depends on how well you phrase it. It could look like a**-kissing, it could look like sincere interest in the program. I've never heard of schools giving preference to someone who mentioned their own preferences on the application.

Does anyone know if the Professional Transcript Entry Service is good about turnaround times? I completed/submitted my application the end of August and still waiting for them to enter my courses. Really nervous about not making the deadline now :/
